A property management company in Singapore is seeking an administrative support staff to manage billing, invoices, and office logistics. The ideal candidate has at least 2 years of experience in car park administration and is proficient in Microsoft Office. Responsibilities include reception duties, preparing reports, and maintaining office supplies. This role is essential for supporting the smooth operation of the Management Office.

Qualifications

  • Minimum O-level with credits in English and Mathematics.
  • Minimum 2 years of general and managing car park administrative experience.

Responsibilities

  • Prepare monthly billing, raise purchase requisitions and orders.
  • Process invoices, create payment summary and petty cash.
  • Perform reception duty and assist with concierge duties.
  • Maintain Management Office logistics and supplies.
  • Use Yardi system for work orders and feedback.
  • Generate Yardi reports weekly.
  • Prepare monthly management report.
  • Handle tenants maintenance and insurance records.

  • Prepare Monthly Billing, raise Purchase Requisitions & Purchase Orders, and route e-sign invoice for approval
  • Processing of invoices, creating of payment summary and petty cash
  • Perform reception duty for Management Office and assist with concierge duties (visitor management) where required
  • Responsible for maintenance of Management Office logistics – photo copier, water dispensers, stationeries, refreshments, dry cleaning of uniform
  • Use Yardi system to create work orders or feedback received from tenants or members of public and reply to these feedback
  • Generate Yardi reports and send retail shop opening hours checklist weekly
  • Prepare monthly management report
  • Prepare tenants maintenance and insurance records submission
  • Any other duties assigned by the Manager and supervisors
Job Requirements
  • Minimum O-level with credits in English and Mathematics;
  • Minimum 2 years of general and managing car park administrative experience; &
  • Proficient in Microsoft Office
