This role involves maintaining documentation flow, ensuring compliance, and assisting technical staff. The ideal candidate will have a Nitec in engineering, proficiency in Microsoft Office, and effective communication skills. Experience in administrative roles is preferred, and immediate availability is an advantage.

As part of our company’s strategic expansion, we are seeking a dedicated QC Administrative Assistant to enhance and support our quality control team. This role is essential in maintaining efficient documentation flow, ensuring compliance with regulatory and internal standards, and assisting both technical staff and management in daily operations. The ideal candidate will contribute to streamlined quality processes and help reinforce our commitment to excellence across all departments.

Roles and Responsibilities – QC Administrative Assistant
  • Provide efficient administrative support to the Quality Control Department, including scanning, filing, archiving, and retrieving documents.
  • Maintain an organized and up-to-date filing system for all QC-related documentation.
  • Ensure that administrative databases and tracking tools are consistently accurate and current.
  • Electronically upload supplier certificates and material certificates into the ERP system.
  • Maintain accurate records of all quality-related activities and documentation.
  • Support the entry of open stock items and upload relevant certification through ERP platforms.
  • Assist with Certificate of Conformance (COC) documentation and recordkeeping.
  • Prepare necessary documentation in collaboration with the QC team for internal and external audits.
  • Manage and file work orders, delivery orders, and invoices, ensuring timely submission to the Accounts and Project teams.
  • Demonstrate proficiency in Microsoft Office (Word, Excel, PowerPoint) and possess strong computer literacy.
  • Exhibit effective written and verbal communication skills and attention to detail.

Required Qualifications:

  • Nitec or Higher-Nitec in engineering
  • 0 to 2 years of working experience in administrative roles preferred
  • Good organisational and time management skills
  • Able to communicate effectively in English.
  • Able to start work immediately or within short notice is an advantage
