Job summary

A leading engineering firm in Singapore is seeking an Administrative Assistant to manage documentation and support compliance in lifting operations. Applicants should have a Nitec or diploma in Administration, preferably with experience in Marine, Shipbuilding, or Oil & Gas industries. Proficiency in Microsoft Office Suite is required. This role involves maintaining certifications, organizing files, and generating compliance reports.

Qualifications

  • Prior experience as an Admin Assistant, preferably in Marine, Shipbuilding, or Oil & Gas industries.
  • Knowledge of safety regulations is advantageous.

  • Maintain and update lifting plans and equipment certifications.
  • Track expiry and renewal dates for lifting gear and operator licenses.
  • Organize and digitize documents and records.
  • Generate weekly and monthly reports on compliance status.

Job Description
  • Maintain and update lifting plans, equipment certifications, inspection reports, crane maintenance and operator & lifting team competency records.
  • Track expiry and renewal dates for lifting gear, crane certifications, and operator licenses.
  • Manage incident, near-miss, and risk assessment documentation.
  • Organize, file, and digitize drawings, certificates, and department records.
  • Ensure all lifting equipment meets inspection and certification requirements in line with regulations
  • Support internal audits.
  • Liaise with lifting supervisors, safety officers, and production departments regarding documentation and compliance needs.
  • Schedule and record department meetings and equipment inspections.
  • Assist with internal transmittals, approvals (E-Timesheet, E-Leave, Overtime), and document circulation.
  • Maintain digital safety management systems and department databases.
  • Perform data entry for lifting gear lists, ISO data sheets, and material receipts.
  • Generate weekly and monthly reports on lifting operations and compliance status.
  • Track and follow up on system approvals and internal reporting.
  • Handle photocopying, scanning, stamping, and internal distribution of documents.
  • Assist in organizing department files and redline mark-up drawings.
  • Provide administrative support to other production departments as required.
  • Take minutes during internal meetings

Job Requirement
  • Nitec/Diploma in Administration or an equivalent qualification
  • Prior experience as an Admin Assistant, preferably in Marine, Shipbuilding, or Oil & Gas industries.
  • Knowledge of lifting operations (cranes, hoists, rigging) and safety regulations is advantageous.
  • Proficiency in Microsoft Office Suite.
