Job summary

A property management firm in Singapore is looking for an Administrative Assistant to handle daily duties in the Management Office. Your role will include managing inquiries, supporting the management team with documentation, and ensuring efficient administrative processes. The ideal candidate should possess a diploma or equivalent, have good communication skills, and be proficient in MS Office. Prior administrative experience is preferred, and condominium experience is an advantage. This position is essential for maintaining the efficiency and organization of the office.

Responsibilities
  • Handle daily administrative duties in the Management Office, including answering calls, emails, and residents’ enquiries.
  • Assist with resident registration, issuance of access cards, car decals, and facility bookings.
  • Maintain and update records, forms, and databases accurately.
  • Support the Manager and team with correspondence, circulars, notices, and filing.
  • Assist in preparing monthly reports, minutes, and documentation.
  • Receive and record payments for deposits, bookings, and other charges.
  • Coordinate with contractors, vendors, and service providers on scheduled works.
  • Manage incoming and outgoing mails, deliveries, and office supplies.
  • Ensure the Management Office is well‑organised and presentable at all times.
  • Provide general support during meetings, inspections, and resident engagement activities.
Requirements
  • Minimum N Level / NITEC / Diploma or equivalent.
  • Prior administrative experience preferred; condominium/MCST experience an advantage.
  • Good communication and customer service skills.
  • Proficient in MS Office and basic computer applications.
  • Well‑organised, detail‑oriented, and able to multitask.
