Working Hours: Monday-Friday, 8.30am to 5.30pm (with 1 hour lunch break) 2-3 days WFH, will follow team’s schedule
Salary: Up to $4200
Job Responsibilities
This role is part of the Pre-Authorisation sub team, which mostly helps to ensure that all the logistics and organization of events (such as school visits) are settled properly.
CUSTOMER LIAISON
- Communication with schools and educators, being the first point of contact for logistics related to the event.
- Facilitate and oversee the relationships with other teams including Authorization, IB World Schools, Development, IBEN, Global Operations and Finance.
OPERATIONS
- Ownership of events data entry and accuracy in Salesforce
- Ensuring document submission is on time and correct documents are submitted
- Initiate payment for educators within 5 days of the end of the visit
- Coordinate, monitor and respond to Tier 2 queries forwarded by IB Answers as well as the School Delivery inbox within the SLA
- Monitoring events during the school life cycle to ensure compliance with deadlines
- Provide access to schools and educators to IB Concierge and be first point of escalation for any issues
POLICY AND PROCESSES
- Ensure schools and educators are aware of IB policies and guidelines
- Monitor travel bookings (hotels, flights and transportation) and act as decision maker to reject or approve out of policy requests, ensuring there is not additional budget expenditure.
- Monitoring itinerary to ensure correct budget allocation of the expenses
CONTINUOUS IMPROVEMENT
- Propose enhancements in processes and systems to improve efficiency in the logistics events for IB programs
- Propose updates of guidelines and templates to provide a better support to schools and educators in all 3 languages
PROJECTS
- Accountable of preparing and monitoring the events related to the examination inspection session twice a year, coordinating with different stakeholders to ensure delivery of the sessions on a timely manner.
- Participate in IB projects, contributing as School Delivery representative, from a process and systems perspective.
- Lead enhancements in processes and systems to improve efficiency in the logistics events for IB programs.
Job Requirements
- Minimum Degree in any field with at least 2 years of experience in event logistics
