Job description
The Assistant Executive is responsible for:
  • Prepare, issue, and track purchase requisitions (PR) and purchase orders (PO) based on approved purchase requests.
  • Verify order details such as quantity, pricing, and delivery timelines.
  • Support the buyer to maintain no out-of-stock situation.
  • Coordinate and apply for import and export permits.
  • Coordinate with warehouse/logistics on goods delivery and stock receiving.
  • Monitor stock level and alert buyer of stocks that requires replenishment.
  • Accept orders from suppliers when buyers are unavailable.
  • Monitor incoming stock and flag discrepancies or delays.
  • Maintain accurate purchasing records and update the procurement system.
  • Update product pricing, vendor details, inventory movements, and stock availability promptly and accurately.
  • Handle reject / return of defective inventory and facilitate the return process.
  • Generate basic procurement reports (e.g., PO status, supplier performance).
  • Provide general admin support to the procurement department.
  • Perform other ad-hoc duties as assigned.
Qualifications & Experience Required
  • Diploma in Business, Supply Chain, or related field.
  • GCE “O” or “N” or equivalent, 1+ years of experience, preferable in processing high volume of data.
