Job summary

A small but growing construction firm in Singapore is looking for a reliable Admin Assistant. The role involves handling HR and work pass administration, supporting procurement of materials, and providing general office administrative support. The ideal candidate should have at least 3 years of experience, be detail-oriented, and familiar with Singapore's MOM regulations. Skilled in Microsoft Office and ideally have knowledge of WordPress, you will play a key role in managing operational workflows and compliance.

Qualifications

  • Minimum 3 years of relevant working experience in a similar scope.
  • Experience in construction or renovation industry preferred.
  • Hands-on experience in end-to-end WP and S Pass processing.
  • Basic accounting knowledge.

Responsibilities

  • Handle full cycle Work Permit (WP) and S Pass processes.
  • Source, purchase, and coordinate delivery of materials.
  • Assist with basic accounts duties, including invoice processing.
  • Manage emails, correspondence, and office documentation.

Job description

We are a small but growing construction and renovation company specialising in residential, commercial, and industrial projects, including A&A works, renovation, HIP projects, and repair and maintenance.

We are looking for a reliable and well-rounded Admin Assistant who is organised, detail-oriented, and experienced in supporting daily operations. You will handle administrative, HR, purchasing, and office coordination duties, ensuring smooth internal processes and compliance. You will work closely with the Accounts Manager and the Director.

Job Responsibilities:
Human Resources & Work Pass Administration
  • Handle full cycle Work Permit (WP) and S Pass processes, including application, renewal, variation, and cancellation
  • Manage end-to-end onboarding of overseas workers, with proven knowledge and experience to see through the entire process from work pass application, pre-arrival arrangements, medical checks, OFWAS registration, arrival coordination, WP issuance, and commencement of work
  • Liaise with MOM, agents, clinics, and relevant authorities on work pass and employment matters
  • Maintain workers' records, contracts, and HR documentation
  • Keep track and ensure employees work permit/S Pass and CSOC cert etc are renewed timely
  • Assists with recruitment coordination, onboarding, and employee exit processes
  • Monitor attendance (Info-Tech clock in and out), leave records, MC and support basic payroll preparation
  • Ensure compliance with Singapore employment laws and MOM regulations
Purchasing & Procurement Support
  • Source, purchase, and coordinate delivery of construction and renovation materials, tools, and office supplies
  • Prepare purchase orders (PO), request and compare quotations
  • Liaise with suppliers, vendors, and site supervisors
  • Maintain purchasing records and supplier database
Accounts & Finance Administrative Support
  • Assists with basic accounts duties, including invoice processing, DO matching, filing, petty cash and payment documentation
  • Support Accounts Manager
General Office Administration
  • Manage emails, correspondence, phone calls, and office documentation
  • Prepare quotations, reports, and documents using MS Word and Excel
  • Maintain proper filing systems and provide administrative support to management and the Director
IT & Website Support (Added Advantage)
  • Assists with updating and maintaining the company website (via Wordpress) and perform basic troubleshooting when required
  • Support basic office IT matters such as email, printers, and software
Requirements / Qualifications:
Education
  • Minimum GCE “O” Level or equivalent
Experience
  • Minimum 3 years of relevant working experience in a similar scope
  • Experience in construction or renovation industry preferred
  • Hands-on experience in end-to-end WP and S Pass processing, including overseas worker onboarding etc
  • Experience in accounting
Skills & Competencies
  • Good knowledge and experience in Singapore MOM regulations and HR administration
  • Experience in purchasing construction materials
  • Experience in purchasing from overseas such as China and know it's processes including forwarders etc
  • Basic accounting knowledge
  • Proficient in Microsoft Outlook, Word, and Excel
  • Knowledge of WordPress website management is an added advantage
  • Well-organised, able to multitask, and work independently
  • Detail-oriented, responsible and reliable
