The role involves daily bookkeeping, handling accounts payable and receivable, and assisting in various administrative tasks. Ideal candidates should have a diploma in a relevant field and 1-3 years of experience, preferably in the maritime industry. Proficiency in MS Office and basic bookkeeping principles is essential.

Horizon Shipmanagement is seeking a detail-oriented, responsible, and proactive Accounts Cum Admin Assistant to support our finance and administrative operations. The ideal candidate will assist the Accounts Executive/Manager in day-to-day accounting functions while also providing essential administrative support to ensure smooth office and vessel-related workflows.

Key Responsibilities
Accounting Responsibilities
  • Assist in daily bookkeeping, data entry, and maintaining accurate financial records.
  • Handle Accounts Payable and Accounts Receivable, including invoice verification, vendor payment preparation, and billing.
  • Prepare petty cash records, and expense claims.
  • Support monthly closing activities and preparation of financial reports.
  • Maintain vessel-related accounting files, crew payroll summaries, various invoices.
  • Assist in liaising with auditors, banks, vendors, and service providers as required.
  • Ensure all financial documents are properly filed, organized, and archived.
Administrative Responsibilities
  • Provide general administrative support to the office, including correspondence, filing, scheduling, and document management.
  • Assist in coordinating personnel trainings, and personnel files.
  • Handle office procurement, stationery supplies, and vendor coordination.
  • Support HR and Operations departments in preparing letters, forms, reports, and logistics arrangements when required.
  • Assists in generating quotations to clients.
  • Maintain records related to vessel operations, certificates, contracts, and compliance documents.
  • Assist in arranging travel bookings, visas, and accommodation for crew or staff when needed.
  • Ensure visitors and stakeholders are attended to professionally.
Requirements
  • Diploma or Certificate in Accounting, Business Administration, or related field.
  • 1–3 years of relevant accounting and/or administrative experience (experience in maritime industry is an advantage).
  • Proficient in MS Office (Excel, Word) and accounting software (Xero).
  • Basic understanding of bookkeeping principles.
  • Strong attention to detail and good organisational abilities.
  • Able to multitask, work independently, and meet deadlines.
  • Good communication skills in English and preferably Mandarin (written & spoken).
  • Positive attitude, integrity, and willingness to learn.
