Working Hours
- Monday to Friday: 7am to 4pm, inclusive of ½ hour lunch break and inclusive of school holidays.
- Working hours will be subjected to changes, due to exigencies of services (e.g. shift rotations).
- Service not required on Saturdays, Sundays and gazetted public holidays.
Responsibilities
- Manning of the School General Office Reception counter and attending to walk-in customers, e.g. contractors, parents, pupils, public, etc.
- Attending to students at sick-bay (including administering basic First Aid) and liaising with school leaders, calling ambulance and liaising with medical staff, Form teachers and parents.
- Attend to contractors when available
- Receiving in-coming mails/goods deliveries and arranging outgoing mails for posting
- Answering of telephone calls.
- Support in the maintenance of the sick bay (e.g. basic cleaning)
- In charge of stock balance and ordering of office stationery and equipment (e.g. A3 & A4 papers, markers & refills, A4 and A5 exam result slips for HOD ICT, toners, requesting ad-hoc repair and regular servicing of shredders and photocopiers etc)
- Collation of reports and data
- Provide administrative support to teachers
- Assist with school events and activities, when required
- Other administrative functions where required, e.g. Collection of forms, data entry, photo-copying, laminating, covering of duties for the Library Officer, etc.
- Other admin duties as and when assigned by the Supervisors/Administration Manager/School Leaders
Requirements
- Minimum GCE ‘N’ Level with pass (C6) in English or equivalent educational qualification or equal
- Applicants should have a minimum of 3 years working experience in Administration. Having previously worked in schools will be an added advantage (but not mandatory)
- Possess good computer skills (able to work with graphics, numbers and details – job scope includes data entry and preparation of Excel spreadsheets, etc.)
- Must be proficient in using MS Office Applications (e.g. MS Word, MS Excel, MS PowerPoint, etc.)
- Able to work with a team of teachers (job scope includes supporting teachers in their administrative work, e.g. collation of forms, surveys, etc.)
- Team-player with a positive attitude and pleasant disposition
- Should be diligent and a fast learner, able to work independently with clear and minimal instructions. Ability to multi-task and meet deadlines set
- Have a keen eye for details
- Personnel must be available to come for an interview when required
