Job Title : Purchasing & Logistics Officer Riyadh, Kingdom of Saudi Arabia | Immediate Joiners Preferred
ViaLighting is a leading provider of innovative architectural lighting solutions, headquartered in Riyadh, operates as a specialized Lighting Design and Consulting studio with expertise in strategic design consulting and value engineering. ViaLighting is seeking a highly organised and detail-oriented Purchasing & Logistics Officer to join our dynamic team. In this pivotal role, you will be responsible for managing the end-to-end procurement and logistics process, ensuring the timely and cost-effective acquisition and delivery of goods in alignment with our company's operational needs and project timelines.
Key Responsibilities
- Procurement & Internal Coordination
- Receive and verify purchase requests against sales orders, quotations, and specifications.
- Secure necessary approvals from stakeholders (Finance, Sales, Management).
- Issue accurate and compliant purchase orders to suppliers.
- Authorize production commencement and coordinate with the Accounts department for advance payments.
- Provide constant updates on procurement progress, order status, and potential challenges to the Sales Team and Management.
- Supplier Relationship & Communication
- Serve as the primary point of contact for suppliers, confirming PO receipt and production schedules.
- Maintain strong, professional relationships with suppliers to ensure reliability and quality.
- Coordinate with suppliers to ensure all required shipping documents are prepared accurately and on time to prevent customs clearance issues.
- Align supplier readiness dates with project delivery schedules.
- Logistics & Shipment Management
- Monitor material readiness and select the most efficient and cost-effective shipment mode (e.g., DHL, air, sea, land) based on project constraints.
- Proactively inform all concerned parties (sales, clients, warehouse) of shipment status and Estimated Time of Arrival (ETA).
- Verify that commercial invoices and packing lists match the original Purchase Orders.
- Liaise with customs brokers, providing all necessary documents to expedite clearance and avoid demurrage charges.
- Maintain and update a comprehensive tracking form for all POs and shipments.
- Data Management
- Accurately enter new supplier and item data into the company system.
Qualifications & Experience
- Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a related field.
- 2-3 years of proven experience in a purchasing, logistics, or supply chain role.
- Strong computer literacy (MS Office, ERP systems).
- Fluency in both English and Arabic is essential.
