Job Purpose: The Project Controls Specialist assists in monitoring, analyzing, and reporting on project cost, schedule, and design progress. With an architectural background, the role supports alignment between project plans, approved designs, budgets, and timelines. The position ensures accuracy in documentation and effective coordination between consultants, contractors, and internal stakeholders throughout the project lifecycle.
Project Planning & Scheduling
- Assist in preparing and updating project schedules in coordination with design, engineering, and construction teams.
- Track project progress against approved baselines and highlight potential risks or delays.
- Support the preparation of timeline reports and milestone summaries for management review.
- Assist in monitoring schedule compliance and in developing recovery plans when needed.
Cost Monitoring & Reporting
- Support in tracking project budgets, commitments, and expenditures.
- Assist in preparing cost reports, budget variance analyses, and cash flow updates.
- Maintain financial and cost control records, ensuring alignment between forecasted and actual spending.
- Provide data support for cost-related decision-making and financial reporting.
Design Coordination & Documentation
- Review architectural and engineering drawings to verify consistency with project scope and standards.
- Coordinate with design consultants to ensure timely submission and approval of deliverables.
- Support in managing design document logs, revision tracking, and approval records.
- Participate in design meetings and prepare progress summaries and follow-up actions.
Reporting & Performance Tracking
- Assist in preparing weekly and monthly project performance dashboards and KPI reports.
- Support the creation and maintenance of digital dashboards using Power BI or similar tools to visualize cost, schedule, and design progress.
- Maintain accurate records of project updates, reports, and meeting minutes.
- Support the preparation of presentations and progress updates for project review meetings.
Risk Management & Compliance
- Support in identifying potential project risks related to design, cost, or schedule deviations.
- Assist in maintaining risk registers and ensuring mitigation plans are tracked and implemented.
- Ensure compliance with ICC project management standards, health and safety regulations, and Saudi building codes.
Coordination & Stakeholder Support
- Liaise between consultants, contractors, and internal teams to maintain clear communication on deliverables and deadlines.
- Assist in monitoring consultant and contractor performance and escalate issues to management as needed.
- Coordinate document submission, approval tracking, and inter-departmental reporting.
- Provide support during internal and external project audits.
Process Improvement
- Support the development and implementation of project control procedures and documentation standards.
- Contribute to the digital transformation of project control tools and dashboards.
- Assist in generating lessons learned and improvement recommendations after project completion.
