Main Job Purpose

The Procurement Officer is responsible for executing day-to-day procurement operations. The role ensures timely sourcing, supplier coordination, purchase order preparation, and cost-effective procurement to meet operational and project requirements while maintaining supplier quality, compliance, and documentation accuracy.

Responsibilities
  • Procurement Operations
  • Receive and review purchase requisitions from departments and ensure accuracy of specifications.
  • Source suppliers, request quotations, evaluate offers, and prepare comparison summaries.
  • Issue Purchase Orders (POs) in accordance with approved prices, terms, and conditions.
  • Monitor and track order delivery progress to ensure timely receipt of goods and services.
  • Coordinate with warehouse and user departments to confirm delivery and resolve discrepancies.
  • Supplier Management
  • Maintain and update the supplier database and the approved vendor list.
  • Support supplier evaluation and performance assessment activities.
  • Establish professional communication and follow-up with suppliers to ensure reliability and adherence to company requirements.
  • Cost & Compliance
  • Ensure procurement activities follow company policy, control framework, and audit requirements.
  • Support cost optimization initiatives and negotiation efforts to achieve savings.
  • Maintain proper documentation and fill procurement files and digital records accurately.
  • Reporting
  • Prepare periodic procurement status reports (e.g., PO tracking, spend analysis).
  • Escalate delays, supply risks, or quality issues to the Procurement Assistant Manager.
Qualifications & Requirements
  • Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or related field.
  • 1–3 years of experience in Procurement, preferably in logistics, industrial, supply chain, or FMCG sectors.
  • Experience with ERP/SAP or procurement management systems is an advantage.
  • Ability to prepare cost comparison and basic spend analysis.
  • Proficiency in MS Excel, Word, and PowerPoint.
