Purpose of role:

The Operation & Maintenance Assistant supports the Operation & Maintenance Specialist in developing and executing the strategy for public art operations and maintenance across the Riyadh Art Program.

The role involves coordinating data collection, preparing documentation, tracking progress, and assisting with procurement and communications to ensure efficient management of all operational and maintenance workflows

Key Responsibilities and Specific Accountabilities:

• Assist the Operation & Maintenance Specialist, to conduct the general assessments of the current state of the public art collection, supporting the identification of priorities for maintenance and conservation. It should be taken into consideration that Riyadh Art is a program of contemporary public art which includes exceptional works by world-renowned contemporary artists, monumental commissioned pieces and digital art.
• Support, under the guidance of the Operation & Maintenance Specialist, in the development and updating of phased methodologies for maintaining and preserving artworks, based on condition assessments, significance, and maintenance requirements.
• Support the Operation & Maintenance Specialist, in establishing program-wide procedures for determining maintenance priorities and providing guidance on conceptual estimating to ensure consistency and efficiency.
• Draft, in alignment with the Operation & Maintenance Specialist, technical documentation and sample specifications for maintenance, including qualifications of personnel and scopes of work for service providers, ensuring compliance with best practices.
• Contribute, under the coordination with the Operation & Maintenance Specialist, to the preparation and updating of a comprehensive public art preservation and maintenance plan as a roadmap for the long‑term care and sustainability of the collection.
• Assist, in collaboration with the Operation & Maintenance Specialist, in defining procurement and packaging strategies, ensuring clear and actionable scopes of work for service providers.
• Support, under the direction of the Operation & Maintenance Specialist, in project administration and communications, including progress updates, workshops, presentations, and weekly or biweekly coordination meetings.
• Help the Operation & Maintenance Specialist in reviewing existing documentation (program master plan, collections database, artists’ maintenance plans) to support informed planning and decision-making.
• Provide assistance in the tendering process, including preparing bid documentation, coordinating evaluations of service providers, and supporting award procedures, ensuring adherence to program requirements.
• Support the Operation & Maintenance Specialist, during the implementation phase, ensuring quality control, risk management, and timely delivery of operational and maintenance tasks.
• Monitor, under the supervision of the Operation & Maintenance Specialist, KPIs and performance metrics, assisting in preparing detailed reports and insights for continuous improvement.
• Availability to travel, nationally and internationally, for a better management of the activities listed above

Person Specification Job Knowledge / Education and Qualifications / Personal Attributes:

The ideal candidate should hold a bachelor’s or master’s degree in Art/Communication/Management field from an internationally recognized university and over 7 years experience or 12 years experience in the specific field gained on similar projects.

Experience of direct oversight of the following functions: conservation of public artworks collections (focused on contemporary art, monumental public artworks, digital artworks), procurement methodologies, risk management, financial management, quality assurance and quality control.

Basic knowledge of international best practices in public art conservation and long‑term maintenance planning.
