Job summary

A leading retail organization in Jeddah is seeking a Maintenance Planner to oversee maintenance activities across stores. The ideal candidate will have 3–5 years of experience, a degree in engineering, and strong knowledge of HVAC and other facility systems. Responsibilities include planning maintenance schedules, managing spare parts procurement, and ensuring compliance with safety standards.

Qualifications

  • Strong knowledge of HVAC, electrical, refrigeration, fire protection, and building systems.
  • Familiar with procurement and inventory control processes.

Job description
Job Purpose:

The Maintenance Planner is responsible for planning, scheduling, and coordinating all preventive, corrective, and predictive maintenance activities to ensure the reliability and efficiency of all equipment and facilities across the stores. The role ensures optimal utilization of manpower, materials, and resources while minimizing equipment downtime and maintaining cost control.

Key Responsibilities:
Planning & Scheduling:
  • Develop and maintain the Preventive Maintenance (PPM) plan for all assets (HVAC, electrical, fire systems, civil works, cold rooms, etc.).
  • Prepare detailed weekly and monthly maintenance schedules in coordination with operations and maintenance teams.
  • Ensure all planned jobs have the necessary materials, tools, and manpower before execution.
Work Order & Job Management:
  • Review incoming work requests, verify scope, and prioritize based on urgency and impact on operations.
  • Create, assign, and monitor work orders in the CMMS system to ensure timely completion.
  • Track job progress and close work orders upon confirmation of completion and quality verification.
Procurement & Spare Parts Control:
  • Create Purchase Requisitions (PRs) for required spare parts, tools, and materials.
  • Coordinate with the procurement and warehouse teams to follow up on spare parts delivery and ensure timely availability.
  • Maintain a record of critical spare parts and ensure sufficient stock levels to support preventive and emergency maintenance.
Resource Coordination:
  • Coordinate technician assignments based on workload, skill level, and store priority.
  • Liaise with contractors and suppliers to schedule specialized services as required.
Preventive & Predictive Maintenance:
  1. Ensure full compliance with the approved PPM schedule

Analyze maintenance trends and recommend improvements to enhance asset reliability and reduce breakdowns.

Reporting & Documentation:
  • Maintain accurate records of maintenance activities, spare parts usage, and equipment downtime.
  • Generate reports on key performance indicators (KPI) such as MTTR, MTBF, and schedule compliance.
  • Support continuous improvement initiatives through data analysis and feedback to management.
Safety & Compliance:
  • Ensure all maintenance works are executed in compliance with safety standards and Civil Defense regulations.
  • Support periodic inspections, audits, and certification renewals as required.
Skills
