Job description
ROLE PURPOSE

Provide operational support to the Logistics Manager across compliance (SABER), inventory and asset control, vendor coordination (security & facilities), reception call routing, fleet administration, and labor accommodation. The role ensures accurate records, timely coordination with internal stakeholders (HR, Finance, Operations, Procurement), and adherence to company policies and contract terms.

KEY RESPONSIBILITIES
Compliance & SABER Administration
  • Create, submit, and maintain all applications in the SABER portal for all Group companies (product registration, SCoC, shipments).
  • Maintain a detailed Excel tracking sheet (status, reference numbers, fees, expiry/renewal dates, risks) and circulate weekly updates.
  • File all approvals and certificates; ensure documents are audit-ready and easily retrievable.
Inventory & Asset Control (All Group Companies)
  • Maintain up-to-date inventory records (stock cards, serials, locations, min/max levels) for warehouses and offices.
  • Conduct cycle counts and reconcile variances; prepare monthly inventory accuracy reports.
  • Coordinate with Procurement/Finance on receipts, issues, and disposals; update ERP/trackers promptly.
Reception Call Handling
  • Log misrouted/failed calls and recurring issues; propose fixes to improve response times.
  • Answer main reception line and route calls to the correct extensions; keep an updated internal directory.
Security Vendor / Shift Management
  • Manage security guards’ rosters and attendance in line with the service contract and site needs.
  • Verify compliance (headcount, hours, uniforms, post orders), document deviations, and escalate to the vendor and Logistics Manager.
  • Review and confirm monthly invoices against approved timesheets and contract rates.
Facilities Maintenance Coordination
  • Act as the single point of contact for premises maintenance requests—from ticket opening to closure.
  • Dispatch internal technicians/vendors, follow up on SLA timelines, and capture root cause, cost, and preventive actions.
  • Maintain a maintenance log, keys register, and service warranties, schedule periodic inspections.
Gate Pass & Vehicle Access Control
  • Monitor every vehicle entering and exiting the premises; maintain a complete gate log (plate/ID, driver details, purpose, entry/exit times, authorizing person, documents).
  • Coordinate with security to screen vehicles and verify required documents (IDs, delivery notes, POs, job orders).
  • Handle the gate-pass process for visitors, contractors, delivery vehicles, and company vehicles per access policy.
  • Perform basic visual inspections on entry/exit (cargo area sealed, load integrity, visible damage/leaks) and record exceptions with photos if needed.
  • Ensure inbound/outbound vehicle inspection checklists are completed and filed; report anomalies immediately to the Logistics Manager/HSE.
  • Support emergency access/lockdown procedures as instructed.
Fleet Administration & Vehicle Authorization
  • Maintain car/lease contracts and renewal schedules; ensure each vehicle is assigned to one authorized user.
  • Control temporary use via signed handover/return forms for employees not officially assigned; keep a daily log.
  • Track fuel cards, maintenance, fines, and accidents; coordinate insurance claims and renewals.
Labor Accommodation & Welfare
  • Conduct routine checks; report issues to HR and coordinate corrective actions.
  • Support move-ins/outs and ensure HSE, hygiene, and safety standards are followed.
Data, Reporting & Compliance
  • Produce weekly dashboards (SABER status, inventory KPIs, maintenance SLAs, security compliance, fleet utilization).
  • Maintain organized digital/physical files, following naming/version rules and data-privacy requirements.
  • Assist with audits and management reviews.
