Job summary

A leading company in strategic management in Saudi Arabia is looking for an experienced executive support specialist. The role involves providing high-level administrative assistance to executives, managing schedules, and preparing documentation. Candidates should possess a Bachelor's degree in business administration and at least 10 years of experience in administration, with strong communication skills in Arabic and English. This is a full-time on-site position.

Qualifications

  • Minimum 10 years of experience in Administration, preferably with executive administrative support.

Responsibilities

  • Provide high administrative support for executives in the Office of Strategic Management & Boards Affairs.
  • Manage executives' itinerary and diary, schedule appointments, and collect meeting documents.
  • Screen and manage all incoming communication and correspondence.
  • Draft and edit communications, presentations, and documentation.
  • Perform clerical and secretarial duties as needed.

Job Description
  • Provide high administrative support for Office of Strategic Management & Boards Affairs executives and chief officers (including executive itineraries, executive correspondence, executive expenses) in order to ensure that executive support is efficient, and executives’ needs, and expectations are met.
  • Manage and maintain executives’ itinerary and diary, schedule appointments, meetings, and conference calls, collect and prepare meeting documents and update all participants as required in order to ensure that the diary is accurate and up-to-date, participants are informed, and all necessary documents are distributed in advance.
  • Screen all incoming communication and correspondence (letters, emails, phone calls, etc) and independently manage outbound correspondence in order to ensure that incoming correspondence is filtered, distributed and answered promptly, professionally and in line with Shared Services standards and guidelines.
  • Draft and edit communications, presentations and other documents and update documentation and templates in order to support executives in their daily work and ensure that documents and templates are structured, accurate and up-to date.
  • Provide any other clerical or secretarial duties as required (including managing executives’ expenses and securing appropriate signatures as required) in order to ensure accuracy and alignment with Shared Services standards.
  • Actively seek to develop and deepen expertise in line with function requirements
Job Requirements
  • Minimum Qualifications: Bachelor’s degree in business administration or, Management
  • Minimum Experience: 10 years of experience in Administration, preferably with experience in executive administrative support
