Key Activities

Executive Assistance
  • Schedule and organize travel requirements, including accommodation, visa arrangements, transportation, itineraries and venues
  • Provide administrative service (to assigned executive) including: drafting and dispatching emails, recording meeting minutes, as well as preparing and drafting internal and external correspondence
  • Maintain documentation, records and data in accordance with the set policies and procedures. Maintain appropriate standards of confidentiality and ensure that all documentation is securely stored
  • Courteously greets visitors, determine their needs, and direct them to the appropriate actions, person, office, and etc.
  • Initiate and respond to telephone calls on behalf of the assigned function head, route calls and take messages, as required
  • Track and follow-up, with other team members and functions, collate and report on status updates and received inputs to the assigned function head Policies, Processes and Procedures
  • Conduct day-to-day activities while ensuring compliance to policies and procedures
  • Contribute to the identification of opportunities for continuous improvement of systems, processes taking into account leading practices, changes in business environment, cost reduction and productivity improvement
Knowledge and Experience
  • 3 years experience as Executive admin assistant.
Education and Certifications
  • A bachelor’s degree in business administration or equivalent is required
