Job Summary

Key Responsibilities
  • Manage and control all project and company documentation in both physical and digital formats.

  • Develop and maintain document control systems, procedures, and templates to ensure consistency and accuracy.

  • Ensure that all documents are properly labeled, version-controlled, and distributed to relevant stakeholders.

  • Maintain confidentiality and security of sensitive project and corporate information.

  • Coordinate with engineers, project managers, and administrative teams to collect and update records.

  • Track the status of documents, ensuring timely approvals and submissions.

  • Generate document control reports, logs, and summaries for management review.

  • Implement and maintain compliance with ISO and other quality management standards.

  • Provide support during audits and inspections by ensuring easy access to required records.

  • Archive old records and assist in digital transformation initiatives for improved document access.

Required Skills and Qualifications
  • Bachelors degree in Business Administration, Information Management, or a related field.

  • Proven experience in document control, records management, or administrative coordination.

  • Proficiency in document management software (e.g., SharePoint, Aconex, EDMS, or similar tools).

  • Excellent written and verbal communication skills in English.

  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.

  • High attention to detail and accuracy in handling confidential data.

  • Familiarity with quality assurance and compliance documentation processes.

Experience
  • Minimum: 2–5 years of experience as a Document Controller or in a similar administrative role.

  • Preferred: Previous experience working in the Middle East or in large-scale engineering, oil & gas, or construction projects.

Working Hours
  • Full-time position (Sunday to Thursday).

  • Standard working hours: 8:00 AM – 5:00 PM.

  • Flexibility may be required during critical project phases or audit periods.

Knowledge, Skills, and Abilities
  • Comprehensive understanding of document control systems and lifecycle management.

  • Strong analytical and reporting abilities.

  • Ability to work under minimal supervision while maintaining precision.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Team-oriented mindset with the ability to collaborate effectively in a multicultural environment.

  • Ethical conduct and professional discretion in managing sensitive information.
