Planning tailored Corporate Offsites & Incentive Trips to boost culture and inspire motivated teams. | Co-Founder @ Wepleia

Corporate Experience Planner - Corporate Retreats & Incentives

Location : Remote (or hybrid from Barcelona, Spain)

Position type : Full-time

At Wepleia, we are experts in organizing and designing corporate offsites and incentive trips that inspire teams to connect, collaborate, and grow. We specialize in finding the best destinations and experiences for both national and international clients, always ensuring excellence and attention to detail.

We are an ambitious and creative team, driven by high standards, precision, and the excitement of crafting something truly unique for every client.

Your Mission

We're looking for someone organized, proactive, and with an eye for crafting unforgettable experiences . As a Corporate Experience Planner, you'll shape our projects from the very first interaction : interpreting client needs, sourcing the perfect destinations, engaging suppliers, and designing irresistible proposals that make teams want to pack their bags.

One day you might be planning an incentive trip for 60 people in Cairo. The next, curating a strategic retreat for a scale-up in a hidden finca in Girona. If that sounds like your dream job, keep reading.

What You’ll Do

Client Management :

  • Analyze briefs and deeply understand each client's needs : trip goals, budget, duration, number of participants, etc.
  • Join initial client meetings and contribute ideas from the start.

Proposal Design :

  • Research and select destinations, hotels, and unique experiences that match each brief.
  • Contact venues and providers (hotels, local experiences, team-building activities) and request quotes.
  • Negotiate rates, conditions, and value-adds with suppliers, always aiming for the best quality-price ratio.

Time & Priority Management :

  • Manage your schedule and keep deadlines under control like a pro.
  • Ensure all proposals are delivered on time, beautifully presented, and error-free.
  • Create compelling proposals that win clients over visually and conceptually.
  • Join client presentation meetings to walk them through every detail of the experience.

Internal Coordination :

  • Work closely with the sales and operations teams to ensure flawless execution.
  • Share client feedback to continuously improve our processes and offerings.

Requirements

  • 1–3 years of experience in MICE agencies, DMCs, or similar roles managing corporate travel and accommodation.
  • Deep knowledge of the hospitality sector , including pricing and supplier negotiation (Spain, Europe, or the US).
  • Fluency in Spanish and English. The interview will be conducted in English.
  • Strong command of Excel (basic formulas) and familiarity with tools like Canva, Notion, or Airtable.
  • Ability to handle multiple projects simultaneously without losing focus or precision.
  • Excellent communication and people skills for working with both clients and vendors.
  • Valid driver's license required.
  • Experience with public / private tenders is a plus.

What We Offer

  • Join a fast-growing company that is reshaping how businesses reconnect through retreats.
  • A dynamic role with real autonomy—you create and decide.
  • The chance to discover extraordinary venues and work with top-tier providers.
  • A team culture built on trust, creativity, excellence, and good vibes.
  • Real career growth : you’re not here just to execute—you’re here to build.

Interested?

We’d love to meet you. Send us your CV and tell us what excites you about designing experiences.

To move forward in the process, we’ll ask for two references from similar projects (including contact info and a short description of your role in each one).
