Position :

Medical Affairs Project Coordinator and Executive Assistant to the Chief of Staff

Position Responsibilities :

  • Provide administrative support to the Chief of Staff and Director, Medical Affairs, ensuring confidentiality and managing all information responsibly. Assist with administrative functions, research, report preparation, and project participation.
  • Serve as the first point of contact for the Chief of Staff’s office, facilitating effective communication and issue resolution with internal and external contacts.
  • Greet and screen visitors, providing routine information or redirecting inquiries.
  • Coordinate with executives and assistants across departments to communicate and collaborate on projects.
  • Support special projects, track timelines, and ensure milestones are met.
  • Prepare various documents, reports, charts, and presentations using appropriate software; assist in organizing meeting materials and verify content accuracy.
  • Maintain organized filing systems, records, and locate information efficiently.
  • Research topics, compile summaries, and develop reports from internal and external sources.
  • Assist with invoicing and monitor stipend distributions in collaboration with the Director.
  • Track deadlines, prepare reports, and distribute them as required.
  • Manage correspondence, draft responses, and handle highly confidential documents.
  • Analyze data, prepare statistical and qualitative reports, and support departmental projects.
  • Coordinate calendar management, including scheduling meetings, appointments, and travel arrangements.
  • Organize meetings, including logistics, agendas, minutes, and follow-up actions.
  • Lead the scheduling and coordination of quarterly Grand Rounds.

Qualifications :

  • Undergraduate Degree in Business Management or related field preferred.
  • Minimum of 5 years of administrative and executive support experience, preferably in healthcare.
  • Experience with Petal MD and Medical Terminology is preferred.
  • Project coordination, business, and statistical analysis experience are advantageous.
  • Proficiency in calendar management, organization, and confidentiality.
  • Strong problem-solving, interpersonal, and communication skills.
  • Experience organizing travel and conferences.
  • Excellent attendance and professional discipline are required.
