We are seeking a highly experienced and exceptionally organized Senior Team Assistant to join our luxury real estate firm. The candidate will have at least 6 years of proven experience in a similar role, with a fluent level of English.
This role is key to the smooth operation of the executive and sales teams, requiring a proactive, detail-oriented, and discreet professional who thrives in an international, client-facing setting.
Provide comprehensive administrative and organizational support to the executive and sales teams.
Manage complex calendars, schedule high-level meetings, and coordinate internal and external appointments.
Organize national and international travel arrangements, including flights, accommodations, and itineraries.
Draft, review, and translate documents, presentations, reports, and correspondence in both English and Spanish.
Assist with client relationship management by preparing briefings, following up on actions, and maintaining CRM systems.
Coordinate luxury property viewings, events, and business meetings, ensuring every detail is aligned with the brand’s standards.
Liaise with high-profile clients, legal teams, partners, and vendors, ensuring confidentiality and professionalism at all times.
Oversee office supplies, invoice processing, and administrative budgets related to team activities.
Implement organizational systems to streamline administrative processes and improve team efficiency.
Minimum of 6 years of experience as an Executive Assistant, Team Assistant, or similar administrative role, preferably in luxury real estate, finance, or high-end services.
Fluent or native-level English (C1-C2), both written and spoken; Spanish also required.
Excellent organizational and multitasking skills with strong attention to detail.
High level of discretion, integrity, and professional judgment.
Advanced MS Office skills (Outlook, Word, PowerPoint, Excel); familiarity with CRM systems is a plus.
Proactive, flexible, and capable of working independently and as part of a team.
Strong interpersonal and communication skills; ability to interact with VIP clients and senior stakeholders.
