A cutting-edge international firm operating at the intersection of travel, culture, and intelligent technology is seeking a refined and highly capable Executive Operations & Business Coordination Associate to support its founders in high-level coordination, operational execution, and strategic partner engagement.

You operate with discretion, respect structure, and understand how to support high-level leadership while collaborating fluidly with peers.

Qualifications & Core Profile

  • Fluent in English and Spanish (written and spoken at a business level)
  • Based in Spain with legal ability to work as an independent professional
  • University degree required , ideally in Business, Law, or Communications
  • Familiarity with Spanish contracts and cross-border coordination
  • Experience working in international business environments , particularly with U.S.–EU dynamics
  • Demonstrated comfort with ambiguity , flexibility, and ownership of outcomes
  • Available to travel if needed and willing to work after-hours or occasional weekends during peak periods or activations
  • Experience in travel and / or technology sectors is considered a strong asset

Professional Mindset & Skills

  • High emotional intelligence; diplomatic, respectful, and service-minded
  • Exceptionally organized with the ability to multitask, prioritize, and follow through
  • Able to independently schedule and lead meetings , transcribe notes, and manage structured follow-ups
  • Familiar with managing sensitive documentation and executive-level communications
  • Discreet, polished, and proactive—understanding hierarchy while acting with initiative
  • Proficiency with :
  • Microsoft 365 (Excel, PowerPoint, Outlook, Bookings)
  • JIRA, Confluence , and digital task systems
  • AI tools for process automation and operational efficiency

Key Responsibilities

  • Serve as the operational and executive coordination point across departments
  • Lead internal calendar management, team communications, and follow-ups
  • Support travel logistics, curated activations, and bespoke project delivery
  • Track and support contract administration and legal documentation in Spain
  • Maintain organizational clarity and systems across key projects using Excel, JIRA, and Confluence
  • Act as the bridge between strategy and execution in a fast-moving environment

Structure & Compensation

  • Full-time remote position based in Spain
  • Structured as an independent professional agreement with autonomy over fiscal and social security obligations
  • Compensation : $35,000 USD annually , paid monthly in U.S. dollars
  • Payments disbursed through secure international channels
  • No currency exchange adjustments will be applied
