We are seeking a dedicated individual to support the local management at our Tarragona site with organizational and administrative functions in a permanent role.

Roles & Responsibilities

  1. Manage all issues related to the Site Manager’s daily activities.
  2. Provide administrative and logistical support to the Site Leadership Team.
  3. Organize staff meetings and social events.
  4. File site contracts and maintain administrative documents.
  5. Manage documentation and correspondence.
  6. Assist with General Services invoices.
  7. Purchase office supplies as needed.
  8. Distribute site correspondence.
  9. Handle incoming telephone inquiries.
  10. Coordinate business trips with the company travel agency and manage related expenses.
  11. Book meeting rooms as required.
  12. Control access to the administration building remotely and assist visitors.

Qualifications

Education

  • Administrative education.
  • Knowledge of SAP.
  • Proficiency in MS Office (Excel, Word, PowerPoint, Teams, Outlook) and SharePoint.

Work Experience

  • Previous experience as a site assistant.

Languages

  • Spanish – native speaker.
  • English – high level/fluent.

Other Skills

  • Full presence at the site is required.
  • Familiarity with internal organization and teamwork.
  • Effective communication skills.
  • Ability to prepare and adapt reports and presentations using PowerPoint.
  • Knowledge of administrative procedures.
  • Positive attitude and optimism.
