The Opportunity : As the External Expert Coordinator, you will support the Global Strategic Brand Teams in engaging with leading healthcare professionals (KEEs). This role involves working closely with senior Astellas leaders and internationally respected HCPs, so strong interpersonal and relationship-building skills are essential. You’ll be responsible for ensuring a smooth, end-to-end experience for KEEs, collaborating with Business Leads (Medical and Commercial) as well as Ethics & Compliance (E&C) teams. A solid understanding of EFPIA Compliance Regulations is key. As part of the KEE Solutions Team, you’ll help deliver integrated support across Astellas functions and report to the Senior Manager, Congress & Events Enablement. Key Responsibilities :

  • Attend concept meetings with business Leads, Ethics & Compliance, Legal, and Congress & Events teams to understand scope and approval processes.
  • Provide KEE Solutions guidance and enter engagement details into Veeva Event Management (VEM) for approval.
  • Complete KEE contracts and ensure all supporting documentation is properly uploaded to systems such as MyContract and SharePoint.
  • Coordinate with Business Operations to raise POs, process KEE invoices, and resolve finance queries promptly.
  • Book KEE travel while ensuring compliance with internal and external regulations.
  • Collaborate with cross-functional teams to improve the KEE experience and identify opportunities for process efficiencies.

Essential Knowledge & Experience :

  • Demonstrated experience of working knowledge of Veeva Events Management (VEM) technology.
  • Strong understanding of pharma compliance rules & regulations.
  • Excellent interpersonal skills as there will be extensive verbal and written communication with both internal colleagues and external customers.
  • Demonstrated fluency in written and spoken English.
  • High attention to detail.
  • Strong ability to multi-task and work under-pressure and to tight timelines.

Education :

  • Bachelor’s degree in Business Administration or Management or equivalent.

Additional Information :

  • This is a permanent, full-time position.
  • Position is based in the UK.
  • This position follows our hybrid working model. Role requires a blend of home and a minimum of 2 days per quarter in our Warsaw office. Flexibility may be required in line with business needs.
