For our client, an up and coming player in the Asset Management industry, we are looking for the Head of Operations. This is an all-rounder role within a small team, where you will manage all aspects of middle and back office. Our client is open to candidates coming from Operations, Finance (Fund or Corporate) within the asset management space. This is a mid-level role perfect for those aiming to grow their career.

Requirements:

  • 8+ years in the middle/back-office management of an Asset Management Firm with Private Equity / Public Market investments and multiple investors.
  • Background in accounting/audit ideally from a “big four” audit Firm with strong Excel and data management skills.
  • Fluent in English, written and spoken. German and French are nice-to-have.
  • Swiss citizenship or possession of a Swiss working permit.

Responsibilities:

  • Direct monitoring and day-to-day operations for the portfolios managed by the company.
  • Management of the master cashflow file for the PE Portfolio/Discretionary co-investment portfolios.
  • Liaising and oversight of the PE capital calls/distributions/Capital Account statements together with the Fund Administrator and preparation of the capital calls/distributions.
  • Calculations and preparation of above-mentioned documents for co-investment discretionary portfolios.
  • Responsible for AML/KYC documentation for all portfolios, investor and investment level.
  • Processing of cash operations: Internal and external transfers, payments, and cash management for clients on various platforms; review accuracy of pricing & fees.
  • Liaise between custodians and transfer agents to ensure timely settlement of Client’s Assets.
  • Processing Private Placement Hedge Fund subscriptions, transfers, and settlements on behalf of institutional and private clients.
  • Investor Relations support, including reporting to and interactions with investors in the regulated vehicles and portfolios.
  • Prepare quarterly reports for discretionary portfolios.
  • Support CFO for Annual Corporate Audit.
  • Maintain Corporate invoicing process, including e-banking entries. Act as deputy for invoice process of discretionary mandates and Fund.
  • Review/implement risk controls to ensure accuracy.
  • Prepare elementary risk reports for board packs. Identify Control Deficiencies and mitigate P&L and reputational risk.
  • Contribute to the development of new technological enhancements to improve processes and workflow.
  • Build and maintain internal/external stakeholder relationships.
  • Nurture relationships with external service providers.
