Supporting three Group Communications department heads, reporting directly to the Head of Internal Communications and Head of Communications for Geographies.
The Opportunity
Join our dynamic Group Communications team as a Team Coordinator and become the strategic backbone that enables our leadership to drive global communications excellence. This is far more than a traditional support role – you'll be a trusted partner to our global department heads, orchestrating across multiple time zones and supporting high-impact projects that shape our global narrative.
In this position, you'll have unique visibility into senior leadership decision-making whilst contributing meaningfully to strategic communications initiatives. You'll thrive in a fast-paced, confidential environment where your proactive approach and strategic thinking directly impact our ability to communicate effectively across 60 countries. You will be supporting the Group External Communications and Group Communications Content & Operations leaders in their day-to-day.
What You’ll Do
Leadership Support & Project Coordination
- Provide proactive support on priorities and time management, anticipating needs across multiple senior stakeholders
- Lead coordination of key communications projects and strategic initiatives from conception through delivery
- Manage project timelines, resources, and stakeholder communications for cross-functional initiatives
- Contribute to preparation of presentation materials for high-level meetings and executive communications
- Provide research, analysis, and proofreading support for presentations, memos, and strategic documents.
Operations & Event Management
- Coordinate complex internal and external meetings and international travel arrangements across multiple time zones
- Organise and logistically support high-profile events both in Zurich and internationally
- Plan and execute annual conferences and international team meetings with meticulous attention to detail
- Handle highly sensitive and confidential information with absolute discretion and professionalism
- Manage sensitive scheduling conflicts and competing priorities with diplomacy and strategic thinking.
Communications & Administrative Excellence
- Oversee organisation and maintenance of documents and filing systems for optimal access
- Prepare correspondence, schedule appointments, and manage diaries
- Coordinate team and project calls with internal and external stakeholders
- Support preparation of materials for key meetings and presentations
- Handle matters of a routine nature to conserve management time, including reading, researching, and analysing information.
Financial Management & Budget Oversight
- Ownership of expense management for department heads and control departmental budget expenditure
- Manage payment processing and preparation of invoices with attention to budget optimisation
- Coordinate with suppliers and vendors, negotiating cost-effective arrangements that support objectives
- Monitor and report on departmental spending, ensuring adherence to budget guidelines
- Handle procurement processes and maintain vendor relationships to maximise value and efficiency.
What You Bring
Experience & Education
- Bachelor's degree or equivalent professional experience in a corporate environment
- Minimum 3-5 years supporting executives or senior leadership, preferably in communications, consulting, or multinational organisations
- Proven track record of managing complex, competing priorities in a fast-paced environment.

- Comfort with digital communication tools and virtual meeting platforms.
