Job Summary

Raytheon Doha is seeking a Senior Administrator/Office Coordinator reporting to the Managing Director. This is a hybrid role that bridges office management responsibilities, cross functional administrative tasks and Executive support. The role’s primary responsibility is to oversee the smooth and efficient operation of the office, ensuring administrative processes, systems and resources support organizational goals. The role provides high-level administrative and operational support, manages office services and supplies, coordinates communications and logistics, and ensures compliance with company policies and standards.

Acting as a central point of contact for staff, management, program and external partners, the Senior Administrator fosters a professional, organized, and productive work environment. This position requires strong coordination skills, the ability to work cross-functionally, and a proactive approach to keeping the office operating efficiently, safely, and cost-effectively. In addition this position deals with Export Control information during day-to-day activities while support coordination across programs.

Responsibilities

Cross Functional Coordination:

  • Coordinates across major programs to track actions, optimize cadence of meetings for the leadership team across Qatar and other international locations to include external stakeholders.
  • Streamlines reporting of functional inputs to Managing Director.
  • Develop tracking tools to ensure timely follow‑up and closure of Raytheon Doha level taskings.
  • Serve as the central point for coordinating cross‑functional and inter‑program efforts.
  • Monitors items beyond suspense or due dates and escalates issues when necessary. Synchronized priorities and deadlines across multiple teams, facilitating timely and effective completion of organizational goals.
  • Coordinates with Requirement & Capabilities, HR Ops, Finance, Global Trade, Operations & Supply Chain, Digital Technology teams with Qatar and functions and program team leaders within United States.
  • Coordinates Quarterly reviews with Finance, Monthly Operations Reviews with Leadership Team and Weekly schedule cadence to include weekly and monthly report inputs to Raytheon SBUs.
  • Track deadlines and ensure organizational processes are followed, maintaining accurate records and supporting leadership with timely insights into employee readiness and status.
  • Coordinates and plans with Security, Requirements & Capabilities and Managing Director for RTX & Raytheon Senior Leadership engagements within Qatar.

Office Management:

  • Manages the office needs and space.
  • Will have a responsibility to supervise sub‑contractors and coordinate office visitors.
  • Managing the Visitor Management System.
  • Supports and manages office maintenance requirements.
  • Responsible for routine office supplies budget and creating necessary processes to ensure office orders are compliant with RTX standards.

Travel & Expense Coordination:

  • Plan and manage domestic and international travel, including compliance with export/import requirements.
  • Prepare, review, and reconcile expense reports accurately, ensuring timely submission and adherence to organizational and program policies.
Qualifications You Must Have
  • A University Degree or equivalent experience and minimum two years prior relevant experience, or an Advanced Degree in a related field.
  • Ability to obtain and maintain a Raytheon‑issued work authorization and any required local permits in Qatar.
  • Able to access ITAR and EAR controlled technical data.
  • Must possess a valid Qatar Residence, Driving License and transportation.
  • Analytical Skills: Strong analytical skills with experience in data analysis and process improvement.
  • Communication: Excellent communication and interpersonal skills, with the ability to work effectively with suppliers and internal stakeholders.
  • Detail‑oriented: Highly detail‑oriented with strong organizational skills and ability to manage multiple tasks simultaneously.
  • Software Proficiency: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
  • Fluency in written and spoken English
Qualifications We Value
  • Prior experience working with U.S. government contractors or within defense/aerospace industry.
  • Knowledge of U.S. government acquisition and procurement regulations (e.g., FAR/DFARS).
  • Familiarity with Qatari regulations and business practices.
  • Working knowledge of Qatar customs and norms. Arabic language skills are a plus.
