Overview

We are seeking a detail-oriented Purchase Assistant. As the Purchase Assistant, you will be responsible for assisting in purchasing and inventory management. The scope of work will be to control Purchasing Documents / File & Organize documents / Daily Scanning documents / daily filling up LPO list & check the payments / Daily official submission of LPO’s to suppliers / Coordinate with accounting and update Cheques lists.


Responsibilities


  • Copy, Scan & Store Documents

  • Check for accuracy & and edit files

  • Create templates for future use

  • File documents in Physical & digital records

  • Manage the flow of documentation within the organization

  • Maintain confidentiality around sensitive information & terms of agreement

  • Update internal databases with details

  • Track orders and ensure timely delivery

  • Update internal databases with order details (dates, vendors, quantities, discounts)

  • Conduct market research to identify pricing trends

  • Evaluate offers from vendors and negotiate better prices

  • Prepare cost analyses

  • Maintain updated records of invoices and contracts

  • Follow up with suppliers, as needed, to confirm or change orders

  • Liaise with warehouse staff to ensure all products arrive in good condition


Requirements


  • Work experience as a Purchasing Assistant, Purchasing Officer or similar role

  • Good understanding of supply chain procedures

  • Hands-on experience with any purchasing software (e.g. Procurify or SpendMap)

  • Advanced knowledge of MS Excel

  • Knowledge of market research

  • Solid organizational skills

  • Bachelors in Logistics, Business Administration or relevant field
