About The Role

We are currently recruiting for Office Assistant, within Ground Services in Doha. In this role, you will provide general administrative and secretarial support in day-to-day functions. You will promote high standards of corporate values through correspondence, telephone, and personal contact. You will handle confidential and sensitive issues, which require a high degree of discretion and tact. You will be responsible for records/documents control and maintenance for all correspondences related to the manager’s office.

Key Accountabilities
  • Perform administrative and secretarial support – coordinate activities, conduct research, and ensure that requests are carried out.
  • Handle inquiries and/or refer to the appropriate personnel/department.
  • Review and answer mail and inquiries and determine if executive action is required.
  • Provide necessary telephone backup coverage, schedule appointments, meetings and travel itineraries, and coordinate related arrangements (meetings, travel, hotel bookings).
  • Respond to complaints and requests for information, explaining procedures and policies in response to inquiries.
  • Draft letters, internal memos, process handling, and maintain confidential information.
  • Check all incoming documents and ensure accuracy when forwarding for fast‑track approvals (Invoices/Statements).
  • Anticipate and prepare meeting materials.
  • Coordinate prompt purchasing of office stationeries and ensure proper maintenance of all office equipment.
  • Perform other department duties related to this position as directed by the Head of the Department.
Qualifications

High school graduate with a certificate in computer applications, proficient in MS Office (Word, Excel, PowerPoint, and Access), and a minimum of 2 years of relevant experience.

  • Fluent in reading, writing and speaking English.
  • The ability to work independently, as well as function as part of a team, is required.
  • Ability to work under pressure with little supervision in a fast‑paced environment, juggling multiple tasks simultaneously.
  • A professional manner for interaction with internal/external high‑level positions is necessary.
  • Excellent organizational skills.
  • Must be mature in outlook, organized; extremely detail‑oriented and possess strong follow‑up skills.
