Job summary

A management consulting firm in Qatar is seeking an experienced Executive Secretary to support the CEO in daily activities, manage their schedule, and coordinate meetings. The ideal candidate should have 5-8 years' experience in executive support and possess strong time management and note-taking skills. Responsibilities include handling correspondence, reconciling invoices, and assisting with financial reporting. Responsibilities

  • Coordinate internal and external meetings, ensuring all logistics are prepared.
  • Receive, screen, and direct visitors, calls, and correspondence.
  • Reconcile invoices, process payment requests, and maintain financial documentation.

  • Manage the CEO’s daily schedule, appointments, meetings, and events to ensure optimal time management.
  • Accompany the CEO to meetings when required, take notes, prepare minutes, and follow up on action items.
  • Coordinate internal and external meetings, ensuring all logistics, materials, and requirements are prepared in advance.
  • Receive, screen, and direct visitors, calls, and correspondence at all levels of seniority.
  • Reconcile invoices, process payment requests, and ensure correct financial coding.
  • Maintain and update financial trackers, reports, and documentation.
  • Experience in staff supervision and team coordination.
  • Experience handling basic finance, reporting, and account reconciliation.
  • Developing and maintaining various financial reports as required.
