RESPONSIBILITIES & SPECIFIC ACCOUNTABILITIES
- Ensure seamless payroll administration and guarantee precise execution of all payroll related payments (in close partnership with Finance department). The Specialist manages administration, preparation, review and approval of monthly payroll calculations under the supervision of Senior Manager, HR Operations EMEA. This includes Social Security responsibility specifically for Poland (registration, reporting, inspections…)
- Provide support, guidance and recommendation on any potential or new provision. Actively participate in bi-weekly EMEA team meetings.
- Implement and adjust payroll elements in case of any update or new legislation as required.
- Maintain, review, document changes and update HR Operations procedures for assigned countries. Provide regular recommendations on any HR operational elements which would require alignment or update.
- Address and manage all payroll and benefits administration related questions coming from Finance, employees, line managers and HRBPs.
- Responsible for affiliations, terminations, updates to employees’ data etc for assigned EMEA insured benefits programs. Verify monthly contribution invoices for assigned EMEA benefits and programs. Manage annual renewal exercises for all assigned EMEA benefits and programs. Support Total Reward team in any new plan implementation required by law or by internal decision. Making sure applicable benefit in kind and/or payroll deductions are processed accordingly.
- Follow-up on administration & compliance of different allowances ie. Housing allowance, schooling allowance, internet & car wash allowance etc. (not an exhaustive list) …Follow-up on insurance claims if no company plans in place (MobileExpenses)
- Full management of Absences within assigned countries: make sure entitlement is correct based on local legislation rules, reporting is correctly done through payroll and myProtime absence management system is up-to-date. Manage any absence related questions from employees (maternity, paternity, sickness, special leaves…) and proceed with any related administration. Regularly assess reporting needs within EMEA and proactively propose new solutions.
- Manage any unplanned & ad hoc payroll & benefits related project within the assigned EMEA scope (acquisition, change of legal entity, new benefit plan to be set up…).
KEY POSITION REQUIREMENTS
Qualifications:
- Minimum Bachelor’s degree or equalized through experience
Experience and Knowledge:
- Minimum 3 years HR experience with payroll and benefits administration
- Knowledge of Polish labor law and any other EMEA employment legislation is an asset
- Languages: fluent in Polish & English. Any other European language is an asset.
- PC Literate: advanced knowledge of MS Office (particularly Excel), knowledge of a time management system is a plus.
- Experience working with various degrees of sophistication of enterprise HR information systems and literacy and agility to learn new such systems
