Senior Executive Assistant/Deputy Chief Operating Officer (Remote)

Position Title: Business Manager to the CEO

Reporting Line: Reports directly to the Chief Executive Officer (CEO).

Location: Preferably Cyprus but certainly in the European time zone. Fully remote job.

General Purpose: Supports the CEO by managing administrative, operational, and selected management responsibilities—enabling the CEO to focus on high-value strategic initiatives. Acts as a trusted extension of the CEO to ensure effective follow‑through on priorities, negotiations, and organizational execution.

Specific Objectives (12 months):

  • Gain a deep understanding of the company's operational model, key stakeholders, and internal dynamics to the extent of confidently engaging in and interpreting all CEO‑level internal and external discussions
  • Own the planning, facilitation, and follow‑up of management team meetings, ensuring agendas are strategically aligned and action items are executed in a timely manner
  • Independently follow up with all direct reports to the CEO on operational and non‑strategic matters, ensuring timely resolution and clear communication flow
  • Plan and coordinate the CEO's schedule, including engagements with key internal and external stakeholders, to maximize strategic impact and time efficiency

Key Activities:

  • Coordinate and manage the CEO's calendar, prioritizing meetings and engagements that align with strategic goals
  • Prepare agendas, materials, and post‑meeting follow‑ups for executive and management meetings, ensuring clear accountability
  • Serve as a liaison between the CEO and direct reports for operational matters, tracking progress on delegated tasks and initiatives
  • Monitor internal and external communications to provide the CEO with timely context and insights, enabling effective decision‑making
  • Conduct targeted research and prepare briefing materials to support the CEO's decision‑making, communications, and external engagements
  • Organize and manage recurring leadership routines, including 1:1s with direct reports and Board‑related interactions, ensuring consistency, documentation, and follow‑through

Requirements

Key Competences:

  • Strong business acumen with the ability to grasp complex organizational dynamics and operational models
  • Exceptionally well‑organized, with proven ability to manage schedules, meetings, and follow‑ups across multiple stakeholders
  • Culturally intelligent and effective in multinational, diverse environments
  • Strong interpersonal skills with the ability to build trust, communicate diplomatically, and influence without authority
  • High adaptability and dependability in managing shifting priorities and urgent requests
  • Skilled at setting and managing priorities in fast‑paced, high‑pressure environments
  • Familiarity with fintech or, preferably, trading businesses, including terminology, pace, and operating culture

Likely Current Job:

  • Senior Executive Assistant or Personal Assistant with a track record of driving business execution beyond traditional administrative responsibilities
  • Deputy Chief Operating Officer or similar role focused on operational follow‑through and executive support
  • Project Manager experienced in coordinating leadership‑level priorities and cross‑functional execution
