Job Description

We are looking for a passionate Executive Assistant who will be directly assisting our Managing Director and other Leadership Team members/teams in our company in Poland.

The Executive Assistant will support the Leadership Team in Human Health Division in Warsaw. Job responsibilities require coordination of multiple tasks, independent judgment, creativity, and problem-solving skills.

Role requires strong communication skills for effective interaction with our company’s executives and internal/external clients both on-site and remotely to maintain workflow, people skills and extensive experience with event planning and coordination.

Primary responsibilities for this position include, but are not limited to, the following:
  • Support MD with administration of daily activities (agreements, meetings, calendar, approvals etc.)
  • Coordinate and perform multiple level events, activities and engagements, based on MD and Leadership Team requirements as specified by MD
  • Efficiently prioritize work under little supervision
  • Schedule complex, multi-leg, and international travel for MD and Leadership team as specified by MD
  • Support organization of ELT and regional/cluster engagements as per MD requests
  • Communicate at a high level to effectively interact with our company’s executives and internal/external clients both on-site and remotely
Education & Experience Required:
  • High School Diploma
  • Minimum of 5 years Administrative Assistant experience
  • Fluency in Polish is required
  • Fluency in English is required
  • Advanced computer skills using MS Outlook, Word, Excel, PowerPoint
  • Experience with Event Planning and coordination
  • Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel
  • Experience processing Expense Reports, Purchase Orders, Payment Requests, Vendor Add Forms
  • Extraordinary attention to detail
  • Outstanding communication and people skills
