The Event Coordinator role will support efforts across a global organization as part of the Marketing team. This position is responsible for the overall project management of large roster of meetings and tradeshows throughout the year, including budget management and reconciliation, ROI reporting, deadline enforcement, and cross-functional stakeholder management. This role may also be asked to support end-to-end planning of small-footprint tradeshows as needed, including but not limited to registration, show service rentals, catering and hospitality, and meeting room coordination.
Core Responsibilities
- Overall project management of centralized event measurement and tracking, supporting large volume of events over the course of the year.
- Independently manage deadline driven tasks across multiple events at various life cycles, ensuring accountability of deliverables.
- Monitor budgets, ensuring cost-effectiveness and adherence to budgetary guidelines and limits.
- Collaborate with global cross-functional partners to support execution of logistical event tasks.
- Champion the post-event process by collating, tracking, and reporting on critical metrics and outcomes; support leadership in debriefs as needed.
- Execute operational administrative tasks in support of the Events team as needed.
- All other duties as needed or assigned by the Senior Event Manager.
Qualifications (Minimum Required)
- Bachelor's degree or equivalent and relevant formal academic qualification. Fortrea may consider relevant and equivalent experience in lieu of educational requirements.
- Proficient in the English language, both written and verbal.
- Exceptional organizational skills with a high-level attention to detail and problem-solving skillset.
- Highly proficient in managing multiple projects simultaneously while strictly adhering to required deadlines.
- Skilled independent contributor comfortable collaborating in a remote office environment.
- Strong proficiency in utilizing Smartsheet for project management.
- Demonstrate excellent internal and external communication and interpersonal skills.
- Must have strong analytical skills to analyze metrics and create reports.
- Experience in managing tradeshows, conferences, or events.
Experience (Minimum Required)
- Proficient years’ of project management experience.
- Experience in managing conferences, events, or tradeshows.
Preferred Qualifications Include
- Experience supporting healthcare, biotech, pharma events preferred.
- Proficiencies in working across multiple project management tools and storage platforms such as Microsoft Suite, Microsoft Teams, and SharePoint.
- Experience in the tradeshow and convention space; knowledge of systems, terminology, and onsite logistics.
