Minimum Required Qualifications
- Education: Accredited High School diploma, GED, or Texas Certificate of High School Equivalency.
- Certification/License: None.
- Experience:
- Pay Grade 701 – 1 year clerical or secretarial experience including receiving visitors via multi‑function phone system and/or in‑person, giving instructions, and maintaining confidentiality of files and records; 2 years preferred.
- Pay Grade 702 – 1 year office experience including receiving customer visit/calls, typing correspondence and/or data entry, working with financial or other numbers, and maintaining confidentiality.
- Pay Grade 703 – 2 years office experience performing detailed work that included the use of arithmetic, research, or other functions; payroll; correspondence; meeting planning; working with financial or other numbers; maintaining confidentiality; collaborating with staff and other departments.
- Pay Grade 704 – 3 years office experience such as receptionist, receiving visitors via telephone and/or in person, giving instructions, maintaining confidentiality of files and records, clerical or secretarial experience, plus data entry/search skills with FRONTLINE.
- Language: Bilingual (English/Spanish) working proficiency preferred in some settings.

POSITION PURPOSE (BY PAY GRADE)
Pay Grade 701 – Serves as receptionist for administrative offices, responding to inquiries from staff, students, parents, and the public; providing requested information or referrals; directing visitors.
Pay Grade 702 – Provides a full range of administrative, secretarial, and clerical support; assists in preparing reports, work orders, and letters; enters digital information including fiscal information.
Pay Grade 703 – Provides a full range of administrative, secretarial, and clerical support; assists in preparing reports, work orders, and letters; enters digital information including fiscal information; coordinates work and priorities among secretarial and clerical staff.

ESSENTIAL JOB FUNCTIONS (BY PAY GRADE)
Pay Grade 701 –
- Greets all visitors to the building and determines nature of business, responding to inquiries.
- Sets tone for a welcoming environment through demeanor, professional appearance, and communication.
- Directs visitors to appropriate personnel following district policies and building security procedures.
- Maintains visitor log, issues passes when appropriate, and coordinates escort of visitors to approved workplaces.
- Ensures reception desk coverage and ease of access.
- Operates multi‑line telephone console, providing information or directing callers.
- Takes accurate messages and distributes promptly.
- Responds to emergency calls and notifies appropriate parties.
- Receives deliveries and distributes materials to appropriate parties.
- Maintains printed media with district events information.
- Prepares memos, correspondence, reports, and documents as needed.
- Compiles, maintains, and files reports, records, and documents.

- Answers incoming calls, provides information, and directs callers.
- Arranges and coordinates meetings and conferences; maintains calendar and prepares follow‑up materials.
- Prepares periodic reports regarding program activities.
- Prepares and maintains forms and records, including payroll information.
- Operates office equipment such as computers, printers, and copy machines.
- Maintains office files systematically and confidentially.
- Maintains system for receiving and tracking invoices.
- Orders and maintains office supplies.
- Enters purchase orders, requisitions, and work orders including travel.
- Maintains and reconciles budget expenditures.
- Maintains payroll including FRONTLINE time.
Pay Grade 703 –
- Compiles and generates reports, statistics, timelines, tables, graphs, correspondence, and presentations; prepares periodic reports regarding departmental activities.
- Arranges and coordinates meetings; maintains calendars and prepares follow‑up materials.
- Prepares and maintains forms and records, including payroll information.
- Maintains office files systematically and confidentially.
- Monitors and processes time records and leave requests; submits to central office.
- Compiles, maintains, and files reports and records.
- Answers incoming calls, provides information, takes messages, and directs callers.
- Schedules meetings and appointments for director.
- Assists with departmental budget preparation and maintains accurate expenditure records; prepares and processes purchase orders and manages supplies and equipment.
- Prepares and processes departmental payroll submissions; liaises on payroll issues.
- Maintains inventory of fixed assets, equipment, and supplies.
