Position Name: Head of Administration and Terminal Maintenance
Reporting to: Chief Executive Officer (CEO)
Job purpose: This position is responsible for providing strategic leadership and overseeing the Terminal Maintenance & Administration functions, ensuring operational excellence, compliance, and sustainability across all facilities. This role drives the integration of engineering practices with administrative operations, manages large-scale projects, and aligns departmental goals with organizational objectives.
Key responsibilities
- Strategic Oversight – Develop and execute long‑term strategies for terminal maintenance, facility upgrades, and administrative operations.
- Lead sustainability initiatives (e.g., energy efficiency, green building certifications) to align with organizational goals.
- Facilities Management – Oversee maintenance of terminal buildings, HVAC systems, electrical LT supply, civil infrastructure, and yard operations.
- Ensure preventive and corrective maintenance programs are implemented effectively.
- Predictive Maintenance – Foster the adoption of predictive maintenance technologies (e.g., IoT sensors, AI‑driven analytics) to enhance equipment reliability and reduce downtime.
- Collaborate with technology providers to implement advanced monitoring systems for critical assets.
- Project Management – Infrastructure upgrades, technology implementations, and green initiatives.
- Manage budgets, timelines, and resources for capital and operational projects.
- Contract & Compliance – Approve high‑value contracts and service level agreements (SLAs) for maintenance, procurement, and vendor services.
- Ensure compliance with safety, environmental, and local regulatory standards.
- Procurement & Budgeting – Oversee annual budgets for maintenance and administrative functions, ensuring cost optimization.
- Collaborate with the Procurement Department for strategic sourcing and supplier negotiations.
- Stakeholder Engagement – Represent the department in executive meetings, presenting performance metrics, project updates, and strategic plans.
- Liaise with regulatory authorities, contractors, and technology providers to ensure alignment with industry standards.
Educational, Technical Qualifications and Experience required
- Masters/Bachelors in Management.
- Engineering qualification will be considered as an additional qualification.
- Minimum 15+ years in facilities/maintenance management, with 10+ years in senior leadership roles.
- Proven track record in managing large‑scale terminal or industrial facilities.
- Expertise in Administration management, contract negotiations, and budget oversight.
