Role: Virtual Assistant - Client Flow and Administrative Support

Location: Remote

Salary: $4 - $10/hour 20 hours/week Monday-Thursday PST

Lago is seeking a detail-driven Virtual Assistant to keep our client process running smoothly from first inquiry to final payment. We are seeking a highly organized, proactive, and detail-oriented Virtual Assistant to support our team with scheduling, calendar management, and handling client work flow. The ideal candidate thrives on organization, communicates clearly, and can manage multiple priorities without letting anything slip through the cracks.

Key Responsibilities

  • Scheduling & Calendar Management
  • Coordinate and schedule meetings, calls, and appointments across time zones.
  • Manage and update shared calendars to avoid conflicts and overlaps.
  • Send reminders, confirmations, and follow-up messages as needed. Manage Client Flow in EngineHire CRM
  • Respond promptly and professionally to inbound emails, messages, and calls.
  • Monitor post call follow-up to ensure doula matches and interviews happen promptly.
  • Send and track contracts, invoices, and payment reminders.
  • Maintain a log of all inquiries and follow-ups in our CRM or tracking system.
  • Ensure no lead or request is left unanswered. Keep client records up to date and accurate. General VA Support
  • Maintain organized records of client communications and scheduling notes.
  • Assist with light administrative tasks as needed (e.g., document formatting, basic data entry).
  • Provide excellent customer service in every interaction to doulas and clients.

Requirements

  • 2+ years of experience as a virtual assistant, administrative assistant, or similar role.
  • Strong written and verbal English communication skills.
  • High attention to detaila and strong organization skills. Take notice and action when things are due or missing.
  • Experience with Google Workspace (Calendar, Gmail, Drive) Zapier and communication tools like Slack or Zoom.
  • Professional, friendly, and adaptable demeanor.
  • Reliable internet connection and dedicated remote workspace.

Bonus Points If You Have:

  • Experience with CRM tools (e.g., EngineHire, Calendly, HubSpot, or similar).
  • Prior experience managing a busy schedule for executives or teams.
  • Familarity with birth work, family services, or wellness industries.
  • Customer service background.
