We are seeking a detail-oriented and proactive Project Administrator to join our commercial support team. Reporting to the General Manager – Commercial & Risk, this role is responsible for the accurate and timely entry of project and timesheet data into internal systems to support payroll processing, invoicing, labor cost tracking, and commercial claims. The successful candidate will work closely with site and office teams to ensure that all information related to employee hours, allowances, and site data is entered correctly and in compliance with company policies and commercial requirements.

Key Responsibilities
  • Enter and validate daily timesheet data submitted by site teams.
  • Ensure all hours—worked and non-worked—are accurately coded to the correct job cost numbers.
  • Liaise with site personnel to resolve discrepancies and obtain missing information.
  • Follow up on incomplete or missing timesheets to ensure full data capture.
  • Update internal systems when flight or roster changes occur.
  • Input data related to:
    • Machine and plant hours (SMU, fuel, odometer readings)
    • Pre-start cards and defect management logs
  • Maintain and update staff timesheets and site project rostersli>
  • Support payroll and commercial teams by submitting verified data for processing.
  • Perform ad hoc data entry tasks and register updates as needed.
  • Uphold confidentiality and accuracy standards in all transactions.
Qualifications
  • Bachelor’s Degree in any field.
  • 3–5 years of experience entering timesheets across multiple projects with varying cost structures.
  • Advanced Microsoft Excel proficiency and experience with data systems.
  • Familiarity with systems such as Keystyle, INX InFlight, or other travel and data management platforms.
  • Experience with data entry related to machine use, remeasurable quantities, and project tracking.
  • Prior experience supporting Australian-based business operations or within an offshore/shared services environment is an advantage.
  • Proven ability to maintain data integrity, confidentiality, and consistency.
  • Must be willing to work on a project-based contract (12 months) with potential extension depending on client needs.
  • Willing to work in the office full-time at Arcovia City, Brgy. Ugong, Pasig City. (Tuesday‑Saturday, 5:00 AM - 2:00 PM)
