Job summary

MicroSourcing in the Philippines is seeking a Project Administrator in Cagayan De Oro to provide operational and administrative support to the Project, Maintenance, and Procurement teams, ensuring projects progress smoothly from sales handover through completion.

You will maintain accurate records across Simpro, Pipedrive, SharePoint and other systems, coordinate stakeholders, prepare documentation, and generate weekly KPI and procurement risk reports.

Qualifications

• 3–5 years experience in business support coordination.
• Experience in Operations Coordination, Project Administration, or Customer Support.
• Excellent written and verbal English communication skills.
• Strong organizational skills with attention to detail.
• Proficiency in Microsoft Office Suite and CRM/ERP or project management systems.

Responsibilities

• Coordinate project setup by reviewing sales handovers and project docs.
• Prepare project summaries, installation packs, and RAMS docs.
• Maintain procurement trackers and monitor supplier orders/deliveries.
• Support cost tracking via invoices, subcontractor costs, and budgets.
• Coordinate communications with customers, suppliers, and site teams; manage inductions and issue resolution.
• Support maintenance operations through scheduling, work orders, CRM updates, and reporting.
• Maintain records across Simpro, Pipedrive, SharePoint, and other systems; ensure data integrity.
• Prepare weekly KPI, readiness, and procurement-risk reports.

Your Role

As a Project Administrator, you will provide operational and administrative support to the Project, Maintenance, and Procurement teams, ensuring projects progress smoothly from sales handover through completion. You will maintain accurate systems, coordinate stakeholders, prepare project documentation, and proactively track actions to support efficient business operations.

Specifically, You Will

• Coordinate project setup activities by reviewing sales handovers, proposals, costing sheets, and project documentation to ensure completeness before delivery.
• Prepare project summaries, installation packs, specification sheets, RAMS documentation, and maintain organized SharePoint folders and project records.
• Maintain procurement trackers, monitor supplier orders and delivery schedules, and elevate procurement risks before project deadlines.
• Support cost tracking by monitoring supplier invoices, subcontractor costs, labor hours, and budget variances.
• Coordinate customer, supplier, subcontractor, and site communications, including access requirements, delivery updates, inductions, and issue resolution.
• Support maintenance operations through scheduling, work order administration, CRM updates, and operational reporting.
• Maintain accurate records across Simpro, Pipedrive, SharePoint, and other operational systems while ensuring document control and data integrity.
• Prepare weekly KPI reports, project readiness updates, procurement risk reports, and administrative dashboards to support operational decision-making.
• Identify opportunities to improve operational processes by utilizing technology, automation, and AI tools where appropriate.

What You Need

Non-negotiables

• 3-5 years experience in business support coordination.
• Previous experience in Operations Coordination, Project Administration, Business Administration, or Customer Support.
• Excellent written and verbal English communication skills.
• Strong organizational skills with exceptional attention to detail.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook, and Teams).
• Experience using CRM, ERP, or project management systems.
• Ability to manage multiple priorities independently while working remotely.
• Strong documentation, follow-up, problem-solving, and time management skills.
• Ability to work UK business hours and collaborate effectively with international teams.

Preferred Skills/expertise

• Experience with Simpro, Pipedrive, SharePoint, or similar project and CRM platforms.
• Experience supporting construction, facilities management, field service, or procurement operations.
• Knowledge of procurement tracking, scheduling, project coordination, and KPI reporting.
• Experience using Microsoft Copilot, Power Automate, AI tools, or workflow automation platforms.
• Strong customer service mindset with the ability to coordinate multiple stakeholders.
• Experience supporting cross-functional operations teams in a remote work environment.
