Job summary

Qualifications

Responsibilities

  • Manage daily motorpool operations including allocation, scheduling and dispatch to project sites and offices.
  • Maintain detailed records of vehicles, equipment, assets, registrations, insurance and mileage logs.
  • Coordinate routine and preventative maintenance with service providers and mechanics.
  • Track fuel consumption, vehicle expenses and maintenance costs to identify cost-saving measures.
  • Conduct vehicle inspections and liaise with maintenance teams to resolve issues promptly.
  • Monitor availability and utilisation rates, and prepare fleet performance reports for management.
  • Process vehicle requisition requests and ensure fair allocation based on project needs.
  • Ensure compliance with transportation and safety regulations including inspections and documentation.
  • Manage vehicle documentation, permits, registrations and insurance policies.
  • Train motorpool staff on vehicle operation, maintenance protocols and safety procedures.

About the role

TLF Construction Co Inc is seeking a Motorpool Coordinator to join our team in Iloilo City, Iloilo on a full-time basis. This role is pivotal to our operations, ensuring that our fleet of vehicles and equipment is maintained, organised and allocated efficiently to support all construction projects and business activities. As Motorpool Coordinator, you will be responsible for managing our motorpool operations, overseeing vehicle maintenance schedules, tracking fuel consumption, and optimising fleet utilisation across the organisation. This position plays a critical role in minimising downtime, reducing operational costs and ensuring that all teams have reliable access to the vehicles and equipment they need to deliver projects on time.

Key responsibilities
  1. Managing and organising the daily operations of the motorpool, including vehicle allocation, scheduling and dispatch to project sites and offices
  2. Maintaining detailed records of all vehicles, equipment and assets, including registration, insurance, maintenance history and mileage logs
  3. Coordinating routine and preventative maintenance schedules with service providers and mechanics to ensure all vehicles remain in optimal working condition
  4. Tracking fuel consumption, vehicle expenses and maintenance costs to identify trends and recommend cost-saving measures
  5. Conducting vehicle inspections and identifying repair needs, liaising with maintenance teams to resolve issues promptly
  6. Monitoring vehicle availability and utilisation rates, preparing reports for management on fleet performance and efficiency
  7. Processing vehicle requisition requests from staff and ensuring fair allocation based on project requirements and availability
  8. Maintaining compliance with relevant transportation and safety regulations, including vehicle safety inspections and documentation
  9. Managing vehicle documentation, permits, registrations and insurance policies to ensure all requirements are met
  10. Training motorpool staff on vehicle operation, maintenance protocols and safety procedures as required
What we're looking for
  1. Proven experience managing a motorpool or fleet of vehicles, ideally within a construction or engineering-related industry
  2. Strong organisational and administrative skills with the ability to manage multiple vehicles, schedules and requests simultaneously
  3. Knowledge of vehicle maintenance procedures, common repairs and mechanical systems relevant to construction equipment and vehicles
  4. Proficiency in using fleet management software or similar computer systems for tracking and record-keeping
  5. Excellent communication and interpersonal skills to liaise with drivers, maintenance teams, management and external service providers
  6. Attention to detail and accuracy in maintaining records, logs and documentation
  7. Problem-solving abilities and the capability to manage vehicle breakdowns and emergency situations effectively
  8. Understanding of health, safety and environmental compliance requirements related to vehicle operations
  9. Ability to work independently and take ownership of motorpool operations whilst being a reliable team player
  10. Familiarity with construction industry practices and equipment requirements is advantageous
