About the role
This is a part-time mortgage application support role for an Australian financial advisory firm. You will work 30 hours per week, Monday to Friday, 11am to 6pm NZ Time, from a fully remote setup. The role involves preparing and organising mortgage application files, managing client documentation workflows, and ensuring compliance with lender requirements.
Key responsibilities
- Prepare and organise mortgage application files, ensuring all documentation is complete and accurate
- Collect, review, and follow up on client documents (bank statements, payslips, IDs, etc.)
- Manage workflows and pipelines via Monday.com and checklist systems
- Send and manage client requirements using workflow tools (e.g. checklist systems)
- Communicate with clients via email only to request information and provide updates
- Proactively follow up outstanding requirements (not relying solely on automation)
- Ensure all submissions meet compliance and lender requirements
- Maintain organised and accessible digital filing systems
- Conduct strict quality checks (grammar, spelling, completeness) before submission
- Assist with insurance administration (forms, submissions, client coordination)
About you
- Proven experience in mortgage application processing / loan packaging (AU/NZ preferred)
- Strong understanding of mortgage workflows, compliance, and documentation
- Ability to analyse financial documents (bank statements, income, liabilities)
- Excellent written English (client-facing communication required)
- High proficiency with Monday.com (highly preferred)
- High proficiency with Slack (daily communication, including audio updates)
- High proficiency with Microsoft Office Suite
- High proficiency with DocuSign or similar tools
- Experience in insurance admin or financial services is a strong advantage
- Accuracy-first mindset – errors (especially grammar/spelling) are not acceptable
- Highly proactive – follows up and takes initiative without being asked
- Clear, direct, and professional communicator (no vague updates)

- Australian or New Zealand banking experience, preferably Australian banking

- Good IT proficiency, adaptability, and the ability to navigate multiple systems efficiently
- A dedicated home-office setup with two monitors
