About the role
This is an Executive & Administrative Support role combined with Platform & Campaign Management responsibilities. You will manage calendars, appointments, and meeting schedules, organise emails and prioritise correspondence, and prepare reports, presentations, and meeting notes. You will provide day-to-day administrative support to the Founder, including backend coverage during founder absences, managing urgent messaging and routine tasks remotely. You will also manage the SaaS/technology backend of a LinkedIn lead generation platform, handle daily messaging management across active LinkedIn campaigns, and respond to inbound lead replies by email within 4 business hours during Melbourne business hours.
Key responsibilities
- Manage calendars, appointments, and meeting schedules
- Organise emails and prioritise correspondence
- Prepare reports, presentations, and meeting notes
- Coordinate internal meetings and scheduling
- Maintain accurate records and CRM data
- Provide day-to-day administrative support to the Founder
- Manage the SaaS/technology backend of the LinkedIn lead generation platform, including day-to-day platform administration
- Handle daily messaging management across active LinkedIn campaigns — monitoring conversations and moving contacts through the funnel as they warm up
- Respond to inbound lead replies by email within 4 business hours during Melbourne business hours
- Build and maintain new outreach audiences for upcoming campaigns, with a target of at least 2 new audiences built per month
About you
- Has run LinkedIn outreach campaigns end to end — built, launched, and optimised them at scale on a SaaS platform (e.g. Sales Navigator plus a layered automation/SaaS tool) — and can walk through the results achieved
- Demonstrated recent experience managing client LinkedIn campaigns end to end
- Uses Claude or ChatGPT every day in their work, with real examples they can show
- Written English is ready to send without review — this role handles lead email correspondence directly
- Identifies problems and resolves them before they reach the Founder
- CRM experience required (Zoho preferred), with a demonstrated ability to learn new systems quickly
- Comfortable working technically within a SaaS platform environment — confident navigating and administering tools, not just using them at a surface level
- High attention to detail, particularly around data accuracy and reporting
- At least 2 years as an Executive Assistant, campaign/operations support, marketing operations, or in a similar role
- Ability to work independently with minimal supervision
