Job Description

Stills Studio is looking for a highly organized and proactive Lead Photography Studio Administrator to manage daily studio operations and ensure a smooth, professional experience for all clients. This role involves administrative leadership, client coordination, and support for both shoots and marketing efforts.

Studio Operations & Client Management
  • Lead the day-to-day administrative operations of the studio, ensuring efficiency and a consistently professional environment.
  • Greet clients and visitors, maintaining a warm, welcoming, and brand-aligned experience.
  • Manage and oversee all studio schedules, including client bookings, internal team calendars, and shoot coordination.
  • Respond to client inquiries (via phone, email, and in person), providing accurate information regarding services, packages, and pricing.
  • Ensure client details, booking information, and transactions are recorded accurately and consistently.
Team Coordination & Shoot Support
  • Assist with photoshoot preparation, including equipment setup, props management, and ensuring the studio is clean and shoot-ready.
  • Oversee availability and maintenance of studio equipment and supplies; initiate replenishment when needed.
  • Assist with basic post-processing tasks, including photo sorting, organizing, renaming, and preparing client galleries.
  • Collaborate with Photography Studio Administrators to ensure deadlines and delivery schedules are met.
Administrative & Financial Management
  • Process and track payments, prepare invoices, issue receipts, and assist in basic financial reporting.
  • Maintain and organize studio documents, contracts, records, and digital files for easy access and compliance.
  • Develop and improve administrative workflows, guidelines, and SOPs for studio operations.
Leadership & Continuous Improvement
  • Serve as the main point of contact for administrative concerns within the studio.
  • Mentor and guide junior administrators or interns, if any.
  • Identify opportunities to streamline processes, enhance customer experience, and improve studio efficiency.
  • Ensure studio policies, safety standards, and customer service guidelines are consistently followed.
Qualifications
  • Bachelor’s degree in Business Administration, Multimedia Arts, Mass Communication, or a related field.
  • At least 2+ years of administrative experience; experience in a creative, media, or photography setting is a strong advantage.
  • Proficient in Google Workspace; experience with scheduling software preferred.
  • Excellent verbal and written communication skills with a customer-first mindset.
  • Strong organizational skills with the ability to multitask and manage shifting priorities.
  • Friendly, professional demeanor with strong interpersonal skills.
  • Basic photography knowledge and familiarity with photo editing tools (e.g., Lightroom, Photoshop, Canva) is a plus.
  • Willingness to work flexible hours, including holidays, weekends or evenings as needed.
