Main Purpose of the Job
The IT Software and Hardware Asset Management Specialist is responsible for overseeing the management, deployment, and lifecycle of all organizational hardware and software assets. This role ensures accurate inventory control, licensing compliance, and optimal utilization of IT resources to support business operations effectively. Additionally, the role will support the IT Finance and Asset Senior Manager in developing and implementing asset management policies, coordinating procurement activities, conducting regular audits to ensure compliance, and providing technical support related to hardware and software assets to ensure smooth operational workflows across the organization.
Key Accountabilities
- Asset Inventory Management: Maintain and update the comprehensive inventory of all hardware and software assets,
ensuring data accuracy and integrity.
Procurement Support: Collaborate with procurement teams to facilitate the timely acquisition of hardware and software, verifyings pecifications and license requirements. - Lifecycle Management: Manage the entire lifecycle of assets from procurement, deployment, maintenance, upgrades, to disposal,
ensuring compliance with organizational policies.
Budgeting and Forecasting: Help on the budget and forecasting exercises.
Hardware Deployment & Support: Coordinate the deployment for onboarding both for FTE and PBH.
Vendor Coordination: Liaise with vendors and suppliers regarding procurement, warranty claims, repairs, and support services - Audits & Compliance: Help in regular audits of hardware and software assets to ensure compliance with licensing, security, and
organizational policies. - Cost Optimization: Assist in budgeting and identifying opportunities for cost savings related to hardware and software assets.
- Documentation & Reporting: Generate reports on asset status, utilization, lifecycle stage, and compliance metrics for management review.
- Support & Issue Resolution: Provide support for hardware and software asset issues, including repairs, replacements, and
warranty claims. - Policy & Procedure Development: Support the development and enforcement of IT asset management policies and standards.

Experience and Qualifications
- Bachelor’s Degree in Information Technology, Computer Science, or related field. Finance and Accounting experience is a plus.
- Advanced proficiency in Excel, financial modeling, and reporting tools.
- With experience in IT asset management, hardware, and software management.
- Strong knowledge of IT asset lifecycle processes, licensing, and compliance standards.
- Familiarity with IT Asset Management tools and inventory systems.
- Excellent organizational and analytical skills.
- Strong communication and stakeholder management skills.
- Ability to work independently and in a team environment.
