Position: Executive Operations Associate

Work Schedule: Monday to Friday, (ET, US Hours)

Employment Set-up: Remote (Independent Contractor)

Salary Range: Starts at USD 1,500 - 2,000/ Month

Pay-out Frequency: Semi-Monthly

Job Summary:

Wingz is seeking a proactive, organized, and highly analytical Executive Operations Associate to support our executive team and contribute to critical operational and cross-functional initiatives.

This role is ideal for someone who can balance executive assistance, business operations, and project coordination—ensuring leaders are supported while helping drive business efficiency and growth.

You will work closely with the CEO, leadership team, and various departments to assist in planning, communication, reporting, operational strategy, and execution.

Key Responsibilities:

Executive Support

  • Manage executive calendars, schedules, and meeting coordination.
  • Prepare reports, research summaries, and presentation materials for leadership.
  • Handle confidential information with discretion and professionalism.

Business Operations

  • Support cross-functional operational tasks across Operations, Support, Engineering, Compliance, and Finance.
  • Track and monitor key performance indicators (KPIs and operational metrics.>
  • Assist in documenting workflows, SOPs, and process improvements.
  • Conduct data analysis and generate insights to support decision-making.

Project Coordination

  • Coordinate projects across teams, ensuring timelines, deliverables, and follow-ups are met.
  • Facilitate communication between departments to keep initiatives on track.
  • Support the rollout of new processes, tools, or business strategies.

Communication & Collaboration

  • Prepare clear, organized summaries, reports, and client-facing materials.
  • Serve as an internal point of coordination for executives and cross-functional teams.
  • Ensure alignment, follow-through, and accountability across stakeholders.
  • Minimum of 2 years of experience in executive assistance, business operations, project coordination, or other relevant roles.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • High analytical capability with experience using Google Sheets/Excel (formulas, data organization, reporting).
  • Ability to work independently and handle tasks with minimal supervision.
  • Demonstrated experience managing projects or coordinating cross-team activities.
  • Strong attention to detail and ability to prioritize effectively.
  • Comfortable working US hours (ET).
Preferred Skills
  • Experience in NEMT, healthcare, logistics, transportation, or SaaS (a plus, not required).
  • Experience with productivity or project management tools (Notion, Trello, Asana, ClickUp, etc.).
  • Strong presentation-building skills (Slides, PowerPoint).
  • Background in data analysis, reporting, or business strategy support.
