Job description

The TikTok CEO's PMO Team is responsible for helping to coordinate and push forward the CEO's key objectives. TikTok is looking for a versatile and highly organized Executive Assistant to join the CEO's PMO team. In this role, your primary focus will be on managing the CEO's calendar, coordinating meetings and travel, and facilitating communication across global teams and time zones.

You'll be expected to work with minimal guidance, take action on urgent priorities, and handle highly confidential information with a high degree of discretion. This is a great role for you if you're passionate about cross-functional project management and organizing important information.

Responsibilities
  • Calendar and Logistics Management: Serve as the primary Executive Assistant by managing a complex global calendar, scheduling meetings, and coordinating all logistics to ensure the CEO’s day-to-day engagements are handled seamlessly.
  • Event Coordination: Organize and book travel arrangements, create detailed travel itineraries, and coordinate special events and meetings, including company offsites and all‑hands meetings.
  • Internal and external events: Working with comms, PMO and external third parties and organizing all the logistics for speaking opportunities, industry, sales and partner events.
  • Administrative Support: Support day‑to‑day administrative activities, including managing communications with internal and external stakeholders, organizing information, and creating ad‑hoc reports.
  • Process Improvement: Anticipate needs and identify opportunities to improve existing processes for greater efficiency and productivity.
Minimum Qualifications
  • 5+ years of experience as an Executive Assistant, with at least two years supporting a C-level executive in a fast‑paced, corporate environment.
  • Exceptional communication skills.
  • Strong calendar management experience, including managing complex global calendars and working across different cultures and time zones.
  • Highly organized, proactive, and detail‑oriented, with the ability to manage multiple tasks with flawless execution.
  • Demonstrated ability to handle confidential information with a high degree of discretion.
  • Proven ability to take initiative and work with minimal guidance.
