Schedule: Night Shift | 8:00 AM – 5:00 PM EST
Employment Type: Full-time

About the Role

We are looking for a high-caliber Executive Assistant to partner closely with our CEO and provide world-class administrative, operational, and project management support. This role requires someone who is proactive, highly organized, and able to stay several steps ahead in a fast-moving, global environment.

If you excel at managing complex schedules, coordinating high-level initiatives, and creating structure amidst shifting priorities, this role places you at the heart of our leadership operations.

What You’ll Do
  • Manage complex executive calendars, meetings, and time-zone coordination

  • Oversee U.S. and international travel planning, itineraries, and expense reporting

  • Review, triage, and prepare responses for high-volume communication and email workflows

  • Draft presentations, leadership reports, and briefing materials

  • Track and coordinate strategic initiatives and cross-functional projects

  • Act as a liaison between the CEO, leadership team, and external partners

  • Capture detailed meeting notes, maintain action trackers, and monitor follow-ups

  • Manage digital files and executive workflows using productivity and project management tools

  • Support events, leadership offsites, and internal communications

What You Need to Succeed (Must-Haves)
  • 5+ years supporting a U.S.-based CEO or C-suite executive

  • Strong project management experience (Monday.com, Asana, Smartsheet, etc.)

  • Proven expertise in complex calendaring, travel coordination, and stakeholder communication

  • Exceptional written and verbal communication skills

  • High proficiency in MS Office, Google Workspace, Slack, Teams, and Zoom

  • Strong attention to detail, time management, and multitasking abilities

  • Experience preparing executive summaries and leadership-level reports

  • Ability to handle confidential information with discretion

  • Dedicated home office setup for remote days

  • Comfortable working night shift (8:00 AM – 5:00 PM EST)

  • Experience in MSP, IT services, or technology-driven organizations
