EXECUTIVE SECRETARY TO THE PRESIDENT & VP-ADMIN
(With Personal & Family Administration Functions)

Jose C. Feliciano College Foundation (JCFC) is seeking a highly organized, discreet, and reliable Executive Secretary to support the Office of the President and the Office of the VP-Admin.
This role is ideal for someone who is proactive, trustworthy, detail-oriented, and comfortable balancing executive office duties with family and property-related responsibilities in a dynamic environment.
Key Responsibilities
A. Executive Office Support (JCFC)
- Manage complex calendars, schedule meetings, and coordinate internal and external appointments for the President and VP-Admin.
- Draft, review, and organize official correspondence, memos, reports, and presentations.
- Maintain confidential files and ensure proper documentation flow between departments.
- Coordinate meetings, prepare minutes, and follow up on assigned action items.
- Serve as the first point of contact for stakeholders, visitors, and internal staff.
- Organize travel arrangements, events, and logistical requirements for the executive offices.
- Assist in monitoring special projects, ensuring timely updates and proper documentation.
B. Family & Personal Administrative Support
- Manage personal scheduling, appointments, and household-related errands for the family.
- Coordinate healthcare needs (appointments, follow-ups, documentation) for family members.
- Assist with travel planning, reservations, and personal logistics.
- Handle light household administration such as grocery coordination, shopping lists, and routine supply monitoring.
- Maintain records for personal matters, receipts, warranties, and service follow-ups.
- Serve as the family’s administrative liaison for schools, doctors, service providers, banks, and other institutions.
C. Property & Project Management Assistance
- Assist in handling property-related tasks for family homes and investments.
- Coordinate with brokers, contractors, and suppliers for repairs, maintenance, and renovations.
- Monitor ongoing property-related projects and ensure proper documentation.
- Organize project files, quotations, receipts, and reports.
Qualifications
- Proven experience as an Executive Secretary, Executive Assistant, or Administrative Officer.
- Strong organizational and multitasking skills; able to manage multiple priorities calmly and efficiently.
- High level of integrity, professionalism, and discretion in handling sensitive information.
- Strong communication skills and the ability to work professionally with internal staff, external partners, and family members.
- Proficiency in MS Office (Word, Excel, PowerPoint) and comfortable learning digital tools.
- Ability to work independently, solve problems proactively, and anticipate needs.
Preferred Qualifications
- Background or familiarity with property management, real estate coordination, or project supervision is a plus.
- Experience working with executives or a family-owned organization.
- Ability to handle both professional and personal administrative tasks seamlessly.
