Job summary

Arcadis in Manila seeks a talented Document Controller to join our project delivery teams. You will maintain records, create logs, and ensure documentation is complete for civil engineering projects, with a local focus that supports global clients.

Qualifications

  • Bachelor's Degree.
  • Proven experience as a Document Controller in Civil Engineering, ideally Transportation.
  • Experience with large and complex projects from concept to delivery – P3 experience desirable.
  • Ability to prioritize daily tasks, manage time, multitask and meet deadlines.
  • Detail‑oriented and trustworthy with sensitive documents.
  • Self‑directed and able to work in a fast‑paced, deadline‑driven environment.
  • Strong communication and presentation skills.
  • Experience with EDMS (SharePoint, Aconex, ProCore).

  • Archive, control, and retrieve records ensuring documentation is accessible and up to date.
  • Control issuance of documents and secure required approvals prior to release.
  • Review completeness and accuracy of documents and perform quality checks.
  • Migrate files as needed and support audit activities to maintain documentation integrity.
  • Provide regular status reports on documentation and workflows to stakeholders.
  • Maintain RFIs logs and distribute responses to ensure clear project communications.
  • Work night shift from 11:00 PM to 8:00 AM PH time (8:00 AM–5:00 PM Vancouver).

Role description

Arcadis is seeking a talented Document Controller who will be an integral part of our project delivery teams, utilizing their expertise to help the company deliver client success. In this role, you will follow the established processes and principles of the company’s document control procedures, specifically as they pertain to Civil Engineering projects. You will be responsible for maintaining accurate records, creating document logs that capture project details, meeting minutes, technical specifications, drawings, and other critical information.

Role accountabilities
  • Your responsibilities will include archiving, controlling, and retrieving records as needed, ensuring that all documentation is easily accessible and up to date.
  • Part of your duties will involve controlling the issuance of documents and securing the appropriate approvals before releasing any information.
  • Additionally, you will review the completeness and accuracy of all documents, perform quality checks and ensure compliance with document control processes.
  • In this position, you will also be tasked with migrating files as required and supporting audit activities to maintain the integrity of project documentation.
  • You will provide regular status reports on documentation, updating stakeholders on the progress and workflow of various document‑related tasks.
  • Maintaining Request for Information (RFI) logs and distributing RFI responses as appropriate will also be a key aspect of your responsibilities, helping to ensure clear and efficient communication across the project team.
  • You will be working in nightshift, between 11:00 PM - 8:00 AM PH time (8:00 AM - 5:00 PM Vancouver).
Qualifications & Experience
  • Bachelor’s Degree
  • Proven experience as a Document Controller in the Civil Engineering sector, ideally Transportation
  • Involvement with large and complex projects from concept to delivery – P3 experience would be desirable
  • Ability to prioritize daily tasks, manage time well, multitask and troubleshoot while handling multiple deadlines
  • Detail‑oriented, dependable and trustworthy when in contact with complex and sensitive documents
  • Self‑directed - the ability to work independently and used to working in a fast‑paced and deadline‑driven environment
  • Stay focused and carry out their tasks in a timely and accurate manner
  • Ability to interact and coordinate with internal and external business partners
  • Strong communication and presentation skills – both verbal and written
  • Preferable to have experience working on construction sites
  • Experienced with EDMS (SharePoint, Aconex, ProCore)
