Preferred Candidate Location: El Salvador, Honduras, Colombia, Guatemala, and Philippines

Our client is a U.S.-based dental practice committed to providing quality dental care and exceptional patient experiences. We are looking for a dependable, organized, and personable Dental Patient Coordinator (Virtual Receptionist) to support daily front-desk operations, patient communications, insurance verification, and appointment scheduling.

As the virtual point of contact for the practice, you will play an important role in ensuring patients receive timely assistance, accurate insurance information, and a smooth scheduling experience. You will handle incoming calls that the in-office team cannot accommodate and help maintain patient communication and administrative operations even when the physical practice is closed.

The practice operates four days per week, approximately 10 hours per day. This full-time remote position follows an eight-hour working schedule within the designated 8:00 AM–5:00 PM Pacific Time window, providing coverage during operating hours and additional support when the office is closed.

We are particularly interested in candidates with dental or healthcare experience, hands-on U.S. insurance verification knowledge, excellent phone communication skills, and a strong sense of accountability.

Spanish-English bilingual proficiency is highly preferred but not required. We welcome qualified applicants who can demonstrate strong experience, reliability, and excellent patient service.

Key Responsibilities
Patient Calls & Virtual Reception (Top Priority)
  • Answer and manage incoming patient calls professionally, courteously, and efficiently.
  • Handle calls that the in-office team is unable to answer during regular practice hours.
  • Provide phone coverage and respond to patient inquiries when the physical office is closed, including designated closed practice days.
  • Serve as a reliable remote point of contact for patients seeking assistance with appointments, insurance, and general practice inquiries.
  • Answer common patient questions and direct inquiries to the appropriate team members when necessary.
  • Accurately document patient communications, messages, requests, and follow-up actions.
  • Prioritize urgent or time-sensitive inquiries and elevate concerns appropriately.
  • Maintain a welcoming, patient-focused experience through clear and empathetic communication.
  • Ensure incoming calls and patient requests are handled consistently and promptly.
Dental Insurance Verification & Inquiries (Top Priority)
  • Verify patient dental insurance information, eligibility, benefits, and coverage.
  • Contact U.S. insurance companies to confirm coverage details and clarify insurance-related questions.
  • Review insurance information for accuracy and completeness before scheduled appointments.
  • Assist patients with general questions regarding their insurance information and verification status.
  • Identify missing, inconsistent, or outdated insurance details and coordinate necessary corrections.
  • Document verification results, payer communications, and outstanding insurance concerns.
  • Follow up with insurance representatives when additional information or clarification is needed.
  • Communicate insurance-related findings to the appropriate practice team members.
  • Support efficient patient processing by ensuring insurance information is properly verified and documented.
Patient Scheduling & Appointment Coordination (Top Priority)
  • Schedule, confirm, reschedule, and manage patient appointments.
  • Verify patient information and ensure scheduling records are accurate and updated.
  • Coordinate appointment availability according to the practice's operating schedule.
  • Assist patients with appointment inquiries, scheduling changes, and general scheduling concerns.
  • Maintain organized appointment records and communicate relevant updates to the in-office team.
  • Help prevent scheduling conflicts and ensure efficient patient flow.
  • Follow established scheduling procedures to support smooth daily operations.
Administrative & Practice Support
  • Provide general administrative and virtual front-desk support as needed.
  • Maintain accurate patient records, call documentation, insurance verification details, and scheduling information.
  • Assist with organizing administrative tasks and tracking outstanding patient requests.

  • Use practice management and team communication platforms to maintain accurate records and coordinate daily activities.
